About this job

THE POSITION

Reporting to the Senior Director of Grants Administration and Compliance, this position supports Community Partners and its projects in the full life cycle management of grant awards and contracts.

Projects will include subawards and/or fiscally sponsored entities. This position requires strong leadership and grant management experience. The Director is responsible for overseeing a team of grant administration professionals and for developing and implementing best practices to facilitate grant compliance for public and private funds.

COMPENSATION

$103,000 – 120,000/year DOE

Benefits include 15 paid holidays and 10 vacation days per year during first two years of employment and increases based on years of service thereafter, a 403(b) plan with employer match after two years of employment, medical, dental, vision, flex spending, and a range of professional development opportunities. Community Partners has a 9/80 work week option under which employees may elect to work 80 hours in 9 days and take every other Friday off (after completion of introductory period).

Roles & responsibilities

RESPONSIBILITIES

- Supervise Grant and Award Administration staff

- Providing technical assistance to team members and projects

- Develop and deliver guidance and training for grant administration activities

- Review, coordinate, and submit grant applications

- Establish and maintain accounts and appropriate permission levels in grant submission portals

- Review grant and contract terms and coordinate negotiating terms and conditions of grants awards

- Review all funder agreements and draft subaward templates to ensure compliance with prime agreement terms and conditions

- Oversee and further develop grant pre-award activities, including grant budgeting and award set-up

- Ensure grant requirements are identified and appropriately tracked in applicable systems

- Oversee and develop subaward risk assessments and grant monitoring policies and procedures

- Oversee post-award responsibilities including financial monitoring, project management, reporting, and ensuring compliance with funder requirements

- Oversee funder invoicing and drawdown processes and approve requests

- Led team members and projects on grant change requests, including processing amendments

- Ensure close-out grant activities are compliant with funder terms and organization policies

- Assess fiscally sponsored project’s grants and compliance responsibilities prior to project separation

- Lead audit prep and response functions, including coordinating resolution of audit findings in partnership with projects

- Monitor Community Partners implementation of new/revised policies and procedures resulting from funder and contract requirements

- Stay abreast of Office of Management and Budget's (OMB) Uniform Administrative Requirements and other applicable guidance as it relates to grant administration

- Oversee and further develop policies and processes related to record-keeping and grant documentation standards, including Community Partners ERP system

- Assist with special projects

- Perform other duties and projects as may be necessary or as assigned

QUALIFICATIONS

Knowledge, Skills, and Abilities:

- A minimum of 10 years of experience in grants and contracts administration, specifically with government and private grants

- A minimum of 5 years experience supervising staff

- Bachelor’s degree or equivalent experience and/or education

- Validated experience with budgets, financial tracking, progress reporting, and other compliance requirements for multiple award types including federal grants

- Ability to community complex compliance issues in simple, understandable terms

- Must have excellent organizational and interpersonal skills, be highly attentive to detail, and be able to manage multiple projects simultaneously

- Ability to work well in a team environment and maintain a high degree of confidentiality due to the nature of the position

- Excellent client service and interpersonal skills and professional demeanor in communicating with staff members at all levels throughout the institution, as well as with vendors and others

- Familiarity with databases, including accounting and HR software

PHYSICAL

The employee is regularly required to sit for extended periods of time, and frequently required to walk and stand. The employee must also use his/her hands to operate and feel office equipment and reach with hands and arms. Employee may occasionally climb, stoop, kneel, or bend.
