Under the direction of the Sr. Music Program Manager, the Music Department Coordinator (MDC) is responsible for supporting general department administration and coordination. The Department coordinator implements programs, REACH objectives, agency best practices, and program efficiencies. The Music Program Coordinator provides key support in programming application and policy.

Roles & responsibilities


  • Provide administrative support to the Music Department including but not limited to semester schedules, staff, Independent Contractor and instructor assignments and coordination, student assessments, budgets & expenses, attendance reports, correspondence and other student performance administration
  • Agency-wide duties including youth supervision when onsite and on agency related events, inputting class attendance and participation in agency events when required
  • Coordination of contractor paperwork and invoicing
  • Provide instruction and serve as substitute instructor when needed
  • Work closely with the Senior Music Program Manager in the recruitment, retention, supervision and coordination of students for Berklee City Music Program and the APCH Accelerated Music Program
  • Represent the Music Department and the Berklee City Music program at off-campus events, performances and conferences as required
  • Support logistics and coordination for music department performances and events on and off-campus including student participation
  • Support music related needs of agency departments
  • Oversee support staff and volunteers for special events and serve as primary chaperone as necessary, including Virtual Workshops/Classes
  • Compose and prepare regular and special reports as required
  • Maintain database of student records and private instructors
  • Assist the Senior Music Program Manager in the placement of AMP student enrollment in ongoing basis semester classes
  • Communicate with performers and technical crews regarding rehearsals and production schedules and logistics
  • Monitor student progress and maintain communication with parents regarding class performance, GPA, and attendance
  • Provide work direction and guidance to contractors, volunteers, interns and support staff as assigned
  • Responsible for equipment and supplies acquisition, classroom access, safety and equipment set-up, and scheduling instrument maintenance
  • Assist contractors and staff in classroom management
  • Assist the Senior Music Program Manager in semester evaluations and surveys
  • Assist in the development and management of daily and accelerated music classes
  • Work closely with the Senior Music Program Manager to maintain weekly, monthly and quarterly calendar of music activities, including virtual programming
  • Submit appropriate paperwork and reports in a timely and efficient manner
  • Oversee weekend programming
  • Drive APCH vehicles when needed to transport equipment or students for performances
  • Oversee all communication with Membership department regarding enrollment
  • Program Delivery Preparation and Scheduling Instrument Pick Up/Drop Offs with Security Department
  • Oversee, creating and updating personal HUB page and content
  • Writing Curriculum and lesson planning for classes
  • Assist in weekly Homebase Virtual Connect
  • Tracking member engagement and updating weekly Remote Tracking Sheet
  • Tracking and management of all Virtual WFH Docs & Google Sheets
  • Managing curriculum and Weekly updates on Google Classroom (personal and some IC)
  • Oversees all Department announcements going out weekly in Internal and External Bulletins
  • Assists Senior Music Program Manager in management of 3rd party tracking tools for all program activities
  • Adhere to the highest ethical and professional standards and values at all times

  • Music Degree or proof of equivalent training/experience in related field
  • 1-3 years providing classroom or group instruction
  • 1-3 years working with youth population
  • 1-3 years experience in organizing events
  • 1-3 years administrative experience
  • Strong comfort with Google suite, Zoom, Dropbox and other online platforms

Physical and Mental Demands

  • Able to work in a dynamic and high noise level environment typical of a youth center
  • Walking, standing required on daily basis
  • Sitting and use of hands/vision for computer work for extended periods of time
  • Lift up to 30 pounds occasionally
  • Have a current driver’s license
  • Additional Information
  • Must be willing to work Tuesday – Saturday schedule
  • Must be willing to be flexible and available for night and weekend performances
