Are you passionate about making a meaningful impact behind the scenes at a dynamic, nature-focused cultural attraction? South Coast Botanic Garden is seeking a highly organized and process-oriented Operations Coordinator to help deliver a world-class experience for our visitors.
In this vital role, you will support the Operations Department by developing, coordinating and executing key processes across multiple departments and the general upkeep of Garden grounds and assets. By ensuring the seamless execution of daily activities and contributing to the success of short- and long-term projects, the Operations Coordinator will play an integral part in elevating the Garden’s operations and enhancing the overall visitor experience.
Roles & responsibilities
Contractor Oversight
- Monitor and maintain precise documentation for all contractor activities, ensuring project timelines and deliverables are met with accuracy
- Collaborate with the Operations Manager and Chief Operating Officer to coordinate and support garden projects, including traveling and permanent exhibits, garden maintenance, capital projects and seasonal installations
- Communicate effectively with various departments to ensure alignment on project objectives and timelines
- Adhere to and promote safety guidelines, maintaining a safe work environment and demonstrating a commitment to safe practices all while providing a positive visitor experience with guests, volunteers, contractors and staff
- Operate power tools and other equipment as needed to support garden and maintenance activities while following safety guidelines
Administrative
- Create, update and maintain detailed operational calendars and supply inventories to ensure seamless day-to-day functions
- Oversee the day-to-day operations of an office, including managing supplies for printers, programs and daily operations while keeping track of expenses
- Schedule and manage deliveries, procurement and reservations for the Operations Department
Procurement
- Establish and refine procurement processes to track, document and manage incoming orders, ensuring consistent alignment with operational goals
- Track, record and receive orders and document arrivals into the assets program
- Source and interview vendors/contractors for materials and/or projects
- Communicate with vendors, clients, team members and managers to align goals
- Recommend and implement new and current standard operating procedures for garden assets
- Perform other duties as assigned to support the goals and needs of the Garden
Qualifications
REQUIREMENTS
- Strong organizational and time-management skills, with a proven track record of meeting deadlines and juggling multiple priorities
- Keen ability to preemptively identify and mitigate potential issues in processes before they arise
- Demonstrated experience in creating, refining and managing standard operating procedures (SOPs) to improve efficiency and consistency
- Exceptional attention to detail, with a commitment to accuracy in record-keeping, tracking and documentation
- Strong analytical and problem-solving skills to address challenges and streamline operational processes
- Experience providing clear, concise instructions to contractors, vendors and team members
- Experience with inventory management systems, project management software or database tools
- Proven ability to work in a fast-paced, dynamic environment, adapting to shifting priorities and new challenges
- A proactive approach to identifying operational inefficiencies and implementing solutions.
- Comfortable working in various outdoor conditions, including inclement weather
- Ability to lift and move up to 30 pounds safely
- A genuine interest in environmental conservation, education and the mission of connecting people with the wonders of nature
QUALIFICATIONS:
- Bachelor’s degree in a related field (e.g., education, museum studies, curation, science, communication) is preferred.
The position is full-time and non-exempt. Pay rate ranges from $19-$22/hour DOE. Must be available weekdays and weekends, some evenings and some holidays. Please submit your cover letter, resume and complete application to apply.
