The Executive Assistant to the CEO is a critical execution and coordination role supporting the CEO and strengthening the Foundation’s infrastructure. This position serves as a trusted partner to the CEO, managing priorities, logistics, and follow-through. This role requires discretion, judgment, strong systems thinking, and the ability to manage confidential executive matters. The Executive Assistant enables leadership effectiveness and ensures the Foundation’s administrative operations function with clarity and discipline.
Roles & responsibilities
ORGANIZATIONAL RELATIONSHIPS
● Reports to the CEO
● Works closely with all Foundation staff, consultants and external partners
● Supports board and committee coordination
ESSENTIAL FUNCTIONS
Executive support and CEO enablement (70%)
● Manage the CEO’s calendar, travel, meetings, and priorities with proactive planning and follow
up
● Track and manage action items emerging from leadership, donor, and board meetings
● Prepare agendas, briefing materials, background documents, and follow up summaries
● Serve as a central coordination point between the CEO, staff, board members, donors, and
partners
● Exercise sound judgment and confidentiality in all executive and donor related matters
Operations and internal coordination (15%)
● Maintain Foundation wide calendars and shared planning tools
● Organize and maintain Foundation wide digital filing systems
● Assist with documentation and improvement of internal administrative and development
processes
Event coordination (10%)
● Support planning and execution of events and convenings
● Coordinate logistics including scheduling, venues, catering, materials, and timelines
● Track event related follow up and ensure next steps are documented and assigned
Board and governance support (5%)
● Coordinate board and committee meetings including scheduling, agendas, and any related
materials
● Maintain organized digital records for governance documents and historical materials
● Support preparation of board packets and follow up on board action items
OTHER ACCOUNTABILITIES
● Provide professional quality service to donors, partners, grantees, board members, and staff
● Maintain accurate records and documentation across development and executive operations
● Support preparation of materials and data needed for leadership and board reporting
● Represent the Foundation with professionalism in internal and external settings
PHYSICAL DEMANDS AND WORK ENVIRONMENT
This role will require in-person, remote, and hybrid modalities, with leadership headquartered in Los Angeles. Occasional evening or weekend hours may be required for Foundation events. Reasonable accommodations will be made for qualified individuals with disabilities.
Qualifications
EDUCATION AND EXPERIENCE
● Minimum of 2 years of experience supporting a senior executive in a nonprofit, foundation, or
mission driven organization
● Demonstrated experience managing complex calendars, priorities, and confidential information
● Experience with or willingness to learn donor databases, CRM systems, and comparable data
systems
● Strong organizational, written communication, and follow through skills
● Comfort working independently while coordinating across a small, fast moving team
