Position Summary:

Reporting to the Compliance Officer & General Counsel, the Compliance Assistant position contributes to the organizationā€™s success by ensuring that the organization is in compliance with all contractual obligations. The position is responsible for organizing and maintaining all contract files, maintaining and updating internal contract tracking tools, managing all contract reporting deadlines, drafting contract summary sheets, drafting minor agency agreements, assisting with internal and external audits, and implementing records retention policies and practices.

Roles & responsibilities

Essential Responsibilities:

Organize Compliance departmentā€™s contracts and related records, assist with monitoring compliance with all contract reporting requirements.

Maintain and update contract tracking systems and contract database in Sage.

Prepare summaries of contractual agreements.

Assist with the coordination of audits or monitoring reviews by funders.

Assist with responding to requests from external auditors and program monitors.

Assist with conducting internal and external site reviews and audits to monitor compliance with organizational policies and procedures and contractual obligations.

Monitor electronic and physical record retention processes including file organization and cataloging.

Manage compliance calendar, assist with scheduling site visits, internal and external auditing deadlines, and compliance training.

Qualifications

Demonstrate excellent analytical skills characterized by identifying, assimilating and comprehending the critical elements of various situations, and extracting and interpreting the implications of courses of action.

Demonstrate excellent communication and presentation skills (verbal and written) characterized by actively listening and ensuring respectful two-way communication.

Demonstrate sensitivity, understanding, and the ability to effectively interact with individuals (internal and external) from diverse cultural, socioeconomic, disability and ethnic backgrounds.

Ability to effectively provide presentations, work demonstrations and instruction to others to promote and establish of culture of safety.

Ability to balance competing priorities and multiple stakeholders.

Intermediate level of computer skills (Microsoft Office environment including Excel, Word, and PowerPoint), software knowledge and Internet research ability.

High level of interpersonal skills, integrity and the ability to keep information confidential.

Uses good judgment; evaluates alternatives in the achievement of quality outcomes.

Results-/Solution-oriented; flexible.
