The Operations Manager supports the mission of the Harriett Buhai Center for Family Law by leading all administrative and operational functions of the organization. Reporting directly to the Executive Director, this role oversees day-to-day operations and serves as the primary liaison with external accounting, HR, and IT consultants. The OM is a key member of the leadership team and plays a central role in administration, finance, HR, facilities, and technology management.
Roles & responsibilities
Serve as a key member of the leadership team by supporting strategic planning and the execution of the Center’s mission, while promoting and upholding organizational policies, procedures, and values. Support and strengthen the Center’s culture of philanthropy through participation in fundraising efforts and events.
Oversee day-to-day office operations, including facilities, equipment, supplies, parking, and building safety. Manage administrative calendars, deadlines, and recurring operational tasks, ensure daily coverage of reception, the main phone line, and mail distribution, and coordinate building maintenance, repairs, and vendor relationships.
Coordinate payroll, benefits administration, onboarding, and offboarding in partnership with external accounting and HR consultants. Review employee timesheets to ensure accurate payroll processing, maintain confidential personnel records, support audits and compliance reviews, and track employee schedules, leave, and in-office presence.
Work closely with the accounting firm on financial reporting, audits, tax filings, and budget tracking. Oversee accounts payable and receivable, petty cash, and bank reconciliations, and support grant reporting and the preparation of financial documentation for funders.
Serve as the primary liaison with IT consultants and software vendors, overseeing the purchasing and inventory of hardware and software. Ensure data security and compliance, provide staff training on technology systems, and support troubleshooting and ongoing staff technology needs.
Supervise and mentor administrative staff by leading recruitment, training, and performance evaluations, while fostering a collaborative, inclusive, and supportive team environment.
Qualifications
Proven experience in operations, administration, or office management
Strong knowledge of HR, payroll, and financial coordination
Excellent organizational, communication, and problem-solving skills
Ability to manage multiple priorities and meet deadlines
Experience working with external vendors and consultants
Commitment to equity, inclusion, and the mission of a nonprofit organization
Salary
65,000 - 80,000
