A Place Called Home is a dynamic, non-profit youth and community center in South Central Los Angeles. APCH provides educational programs, counseling, mentoring, music, dance and art classes, fitness and health and wellness opportunities. About this job

This engagement is primarily remote,with some in-person meetings. The ideal candidate will reside in or near Los Angeles. Travel may be required to the agency’s office or other Board meeting locations and/ or events in Los Angeles and surrounding areas.

The APCH Board of Directors is a group of dedicated professionals that contribute wisdom, time and treasure, raise funds, and provide strategic leadership and planning for the organization. APCH’s board works side by side with the CEO and Senior Staff in guiding the agency's growth and evolution by providing strategic leadership and planning. The Board of Directors Administrative Support Contractor helps maintain schedules and communications between the Board of Directors, its committees, CEO and senior staff, and other consultants and essential parties working with APCH. The Board of Directors Administrative Support Contractor helps maintain established systems and procedures to support the Board of Directors and CEO in executing ongoing duties and the goals and objectives of the agency’s Strategic Plan.

Roles & responsibilities

Contract Expectations:

The Board of Directors Administrative Support Contractor will be accountable to the CEO and Board Chair. They will act as the lead administrative support for the APCH Board of Directors.They will interact regularly with the Executive Assistant to the CEO.

The Contractor will provide executive administrative guidance and support and will be responsible for producing and managing confidential, detail-oriented, and time-sensitive records. They will also act as administrative liaison between the Board and the CEO and senior staff of APCH. Flexibility is necessary to accommodate quarterly Board meetings and committee meetings that sometimes run into early evenings. Board of Directors members are unpaid volunteers for the agency and most work during the day, which means that correspondence, including support requests, often takes place during evening and early morning hours.

Key responsibilities include, but are not limited to:

  • Frequent schedule and project coordination with Board members and the CEO, via the CEO’s Executive Assistant and board members and/or their assistants
  • Managing Boardable (boardable.com), an online board communications and archival platform, together with the CEO’s Executive Assistant
  • Scheduling quarterly board meetings and an annual Board Retreat, and managing invitations and correspondence for those meetings via email and the Boardable platform
  • Occasionally identifying and negotiating with venues for meetings and retreats
  • Assisting Board members with navigating the online Boardable platform
  • Planning and coordinating an annual Board Retreat in coordination with the CEO, Board Chair, and the CEO’s Executive Assistant
  • Looking and planning up to a year ahead for board meetings, committee meetings and special meetings on an ad hoc basis
  • Scheduling meetings between individual board members
  • Scheduling board committee meetings with the assistance of key senior staff and Board Committee chairs
  • Working with the CEO, senior staff and board members to create agendas for meetings
  • Taking minutes at meetings, coordinating with Board Secretary on editing and approving minutes, and following up on action items
  • Preparing and compiling collateral for board meetings, including Powerpoint presentations, and setting up Zoom calls
  • Serving as a liaison between the board and APCH’s Executive Management Team
  • Coordinate interviews, meetings, and provide support for consulting engagements for the board
  • Serving as a point of contact for a wide array of private and public contacts to schedule participation in meetings
  • Organizing board business matters from a calendar and project management perspective
  • Clerical functions such as preparing routine and advance correspondence and arranging conference calls via zoom or google
  • Following up and tracking outstanding matters at times with the assistance of the CEO’s Executive Assistant
  • Assistance and support for governance committee in its board recruitment activities
  • Conducting research, preparing statistical reports, and handling information requests
  • Providing support for board involvement with fundraising and auction events
  • Updating the Board Database and keeping track of the Board Directory
  • Researching and assisting with special Board Projects

  • Bachelor’s degree from an accredited college or university required
  • At least two (2) years prior administrative support experience required, preferably with C-level, and/or nonprofit or arts institution clients
