4th Trimester is a 501 (c) (3) nonprofit providing postpartum care in California and along the U.S.-Mexico border. We support families through essential items, emotional and financial support, and advocacy, ensuring no parent navigates the fourth trimester alone. At 4th Trimester, we believe the weeks and months after birth should be a time of deep care. We’re a nonprofit organization changing how new mothers and birthing people experience the postpartum period. We’ve been through the trenches ourselves and know how isolating it can feel without enough support. We serve those most often left behind by traditional systems, including low-income, immigrant, asylum-seeking, and disaster-impacted families. We started simply with a few mothers supporting others after birth, providing recovery supplies, diapers, and a listening ear. As our community grew, we learned more about what families truly need. Over the past two years, we’ve expanded our focus to include mental health support, economic assistance, and advocacy. The name ‘4th Trimester’ reflects our bold belief that this tender stage of life matters, enough to refer to it as a separate ‘trimester’ with its own set of important needs. We currently have a full-time staff of five, a Board of Directors with 7 members, and we work with independent contractors including fundraising, accounting, communications, HR, and bookkeeping, as well as with our local Mexican contractors in Tijuana.

About this job

The Operations and Administrative Assistant is a part-time, Pasadena-based support role responsible for supporting administrative and operations functions for all departments at 4th Trimester, including Development, Communications, Programs, Operations, and Executive. Primary responsibilities include development operations—gift acknowledgments, database entry, direct mail solicitations and mailings, and fundraising event coordination; executive and operations support—scheduling, Board of Directors meeting preparation, and basic tech and office management; and program operations—inventory management and coordination of program events and activities. Reporting to the Director of Development and supporting the Executive Director, and working closely with staff and external consultants, the Assistant should demonstrate a proven track record in strong communication, self motivation, and passion for the organization. The ideal candidate is driven, highly organized, excited to be a part of a small and highly-motivated team, and deeply committed to women’s and maternal health.

Roles & responsibilities

Essential Responsibilities:

● Responsible for general donor database management and gift receipting, including: gift entry, updating contact records, producing basic donor reports, gift acknowledgement, and thank you letter writing

● Manages administrative operations to ensure that administrative tasks are accomplished efficiently and effectively, such as general email inbox, scheduling assistance, meeting preparation and notetaking

● Manages in-kind donation inventory, including receiving of donations, sorting and donor receipting

● Supports grant/contract tracking such as organize deadlines, compile required documentation, file reports or reminders for staff

● Supports volunteer scheduling and coordination for events and cultivation

● Supports coordination of programming and fundraising event activities including logistics, registration, volunteer support, and on-site assistance

● Maintains paper and digital filing systems, ensure confidentiality

● Order supplies and maintain printed materials, manage vendor relationships, and coordinate maintenance/IT support

● Assist with communications operations such as event signage and materials

● Assist with communications special projects, research, and cross-functional coordination as needed

Qualifications

Qualifications:

● Minimum 1-2 years of of professional experience or equivalent volunteer experience; prior nonprofit experience preferred

● Demonstrated meticulous attention to detail, ability to multitask and prioritize competing projects

● A proactive and self-starter nature

● Proficiency with Google Workspace and Microsoft Office

● Experience with web-based contact databases (CRM); being familiar with GoFundMePro and Virtuous is desired

● Knowledge of social media platforms, WordPress, and basic HTML

● Experience working in the context of donors and/or executives while maintaining a high level of professionalism preferred

● Excellent oral and written communication skills in English; Spanish oral and written skills are desired but not required

● Interest in reproductive health, women’s rights, and immigration rights is desired

Salary

$28 - $30 hourly
