Currently serving 12,500+ students at 15 Los Angeles public schools, CISLA seeks a highly qualified Administrative Assistant to join our growing team during an exciting new phase of programmatic and organizational expansion as part of our strategic plan.

REPORTS TO

Reports to the Executive Director and Chief Development Director while providing support to all departments

Roles & responsibilities

JOB RESPONSIBILITIES

Board Liaison

• Schedule board and committee meetings, including calls, in-person

• Coordinate and prepare for board and committee meetings

• Take minutes at quarterly meetings; ensure approval within two weeks after meeting

• Coordinate and prepare for board orientations

• Work with committee chairs to ensure that routine meetings occur

• Records management, to include Board documents on Teams/MS OneDrive/SharePoint, committee and taskforce lists

Operational Support:

• Provide administrative support to Executive Director and Chief Development Director

• Managing information flow in a timely and accurate manner

• Managing executives’ calendars and scheduling meetings

• Assist with all materials and meeting preparation

Resource Development/Communications Support:

• Manage a CRM (Network for Good) and files in SharePoint that include accurate donor contact information and meticulous records of all donor and funder contributions, including in-kind donations

• Manage gift acknowledgments to ensure that all CISLA donors are thanked in a timely manner and receive a formal tax receipt for their gift

• Maintain up-to-date fundraising progress-to-goal and board-giving trackers

• Other duties as assigned

Qualifications

QUALIFICATIONS AND SKILLS

• Bachelor’s degree required

• Skilled with Microsoft Office (Excel, Word, Outlook, and PowerPoint), database management, and proficient with email

• 2+ years of administrative assistance

• Excellent written and verbal communication skills

• Highly organized, detail and deadline-oriented

• Exceptional problem-solving and time-management skills

• Self-motivated and hardworking. Take initiative and own tasks from start to finish

• Ability to organize, manage, and complete multiple tasks in a fast-paced environment

• Superb interpersonal skills

SPECIAL REQUIREMENTS:

• Criminal background check required

• TB clearance, to be renewed every four years

• Must have access to reliable transportation. (A valid California driver’s license and proof of current automobile insurance required when personal vehicle is used).

• Proof of COVID-19 vaccination required (digital record)

BENEFITS

The starting pay rate range is expected to be $20.00 - $25.00 per hour, depending on experience.
