Description

826LA seeks a nonprofit administrative professional to join our senior administrative team. Reporting to the Executive Director, the Chief of Staff is a newly created position and will be part strategic thought partner, part problem solver, part budget hawk, and all-round administrative guru charged with maximizing organizational effectiveness while implementing day-to-day administration.

826LA is a non-profit organization dedicated to supporting students ages 6 to 18 with their creative and expository writing skills, and to helping teachers inspire their students to write. The role will have both internal- and external-facing responsibilities. The Chief of Staff oversees and implements all administrative functions, including knowledge management, HR management (including payroll), staff training and development, and equity, diversity, accessibility, and inclusion (EDAI) initiatives, vendor relations (including accounts payable/receivable), budgeting and internal controls, and data collection.

The Chief of Staff manages complex situations and multiple responsibilities simultaneously, balancing long-term projects with the urgency of immediate demands. They must also have the demonstrated ability to deal with highly confidential information and represent the Executive Director and 826LA to other constituencies, both internal and external. The Chief of Staff collaborates to achieve results through others and will build strong relationships throughout the entire organization. The Chief of Staff’s attention to detail is impeccable, and their expansive view of our overall operations is key.

POSITION RESPONSIBILITIES

  • Monitors and supports long-term planning and goal-setting within programs and throughout the organization, including the creation and execution of specific, measurable, achievable, realistic, and anchored within a time frame (SMART) goals, strategic planning, and the delivery of activities according to these plans and the 826LA mission;
  • Support the Executive Director and other senior managers in assessing team-wide progress to goals, identifying what is driving and impeding progress, collaboratively developing solutions to address gaps, and identify course adjustments as necessary;
  • Coordinate annual budgeting process and monitor budgets throughout the year, maintaining internal controls and fostering the highest sense of financial ethics. Implement all accounts payable/receivable, maintain contracts, and implement organization-wide administrative policies and procedures. Create grant-specific budgets and reports in support of grant proposals and reporting as requested;
  • Develop keen, hands-on experience in all administrative, operational, and program areas in order to better identify and implement efficiencies; embed with programs periodically or as requested to develop first-hand programmatic experience;
  • Identify opportunities to maximize the capacity of the Executive Director, including taking on time sensitive/reactive projects and requests from National or externally (board or other stakeholders), managing key external partnerships as assigned, and assisting with other items as requested by the Executive Director;
  • Oversee and develop institutional knowledge management processes, procedures, and policies; ensure adequate training and IT infrastructure in support of knowledge management;
  • Coordinate and manage all operational needs of 826LA, supporting and providing leadership to site managers;
  • Liaison with external HR consultants and bookkeeper;
  • Oversee progressive discipline and dispute resolution process;
  • Implement 826 National’s competency-based system for evaluating staff performance, compensation policies, and supporting the professional development needs of all staff;
  • Facilitate all-staff meetings, retreats, staff cohesion and appreciation events;
  • Facilitate payroll;
  • Supervise, develop, improve, and maintain systems of operations for the on- and off-boarding, hiring, training, and review processes of all staff members;
  • Support 826LA staffing and organizational needs, partnering with other senior staff to identify and implement staffing efficiencies to more effectively achieve our mission;
  • Represent the organization externally to landlords and to other key relationships;
  • Collaborate with director of education to ensure complete data collection and other reporting requirements are met;
  • Lead or assist with special projects as assigned by the Executive Director;
  • Other duties as assigned.

 

PROFILE OF THE IDEAL CANDIDATE

  • Bachelor’s degree (advanced degree preferred);
  • At least 7 years of relevant experience;
  • Spanish language skills preferred;

SALARY AND BENEFITS
This is an exempt, full-time position. Workdays are Monday through Friday, and the flexibility to work on evenings and weekends as necessary. Benefits include 15 days of vacation for the first 2 years, 20 days after that, time off for most school and federal holidays, participation in 826LA’s health care plan at 100% coverage as well as 50% coverage for family members, a full coverage dental plan, 401K plan with employer match, and life insurance plan. The salary range for this position is $75K- $80K commensurate with experience.
