POSITION OVERVIEW
Reporting to the Chief Financial Operator and “dotted line" reporting to the VP of Operations, the Accounts Payable Specialist is responsible for managing the accounts payable function as well as providing financial and administrative support for all departments. This role requires regular collaboration with outside accountants, who assist with the management of daily accounting and periodic reporting, and occasional interaction with My Life Foundation clients. In addition to a strong financial understanding, the ideal candidate will be a patient communicator, customer service focused, and have an eye for detail. 

ROLES & RESPONSIBILITIES

  • Manage accounts payable for the organization and its vendors using accounting software (i.e. ADP Workforce Now, Payroll Works, and QuickBooks).
  • Process payroll in partnership with Human Resources.
  • Ensure bills are paid and payroll is processed in a timely and accurate manner.
  • Code invoices, credit card charges, expense reports, check requests, etc., with codes conforming to standard accounting principles to ensure account accuracy.
  • Establish and maintain relationships with new and existing vendors.
  • Reconcile vendor accounts by identifying discrepancies in posts or omissions.
  • Compare purchase orders, prices, terms of payment and other charges.
  • Investigate and resolve problems related to processing invoices.
  • Analyze workflow processes in the effort to increase efficiency and streamline procedures.
  • Process invoices and payments via check, credit cards or bill.com.
  • Process transactions and perform accounting duties such as account maintenance, record keeping and reconciliation of books.

 

QUALIFICATIONS

  • BA/BS in Accounting or related highly preferred; some college accounting credits required.
  • Three years of non-profit experience working with foundation and/or government grants OR an equivalent combination of work and training.
  • Strong understanding of accounting principles and practices
  • Working knowledge of payroll processes, employment taxes, employee benefits, voluntary and involuntary deductions, and employment laws.
  • Proficiency in ADP Workforce Now or similar payroll software.
  • Excellent computer skills with Microsoft Excel and QuickBooks.
  • Excellent organizational and time management skills.
  • Ability to meet deadlines and deliver results.
  • Excellent customer service and communication skills.
  • Passion for the mission of My Life Foundation.

 

COMPENSATION & BENEFITS
This is a non-exempt full-time position. Salary commensurate with experience and includes a comprehensive benefits package (i.e. healthcare, dental, vision, and retirement). This position is remote flexible with occasional – on average once a week – full days in the office located in Westchester (near LAX).
