We are currently seeking a full-time Advancement Coordinator. The Advancement Coordinator is primarily responsible for gift processing, grant research and stewardship, visitor relations, and general department support.

Nature & Scope of Duties:

Data entry

  • Process donations daily in the database
  • Create timely acknowledgment letters
  • Upload all gift documentation to the database
  • Process event registrations, volunteer signups, and any other data entry


Grants Program

  • Partner with the Associate Director of the Archer Fund to research foundations who can support Archer’s key initiatives
  • Steward current funders by gathering data for reporting purposes, and creating materials


Visitor Relations

  • Create briefings for the Head of School and other school leaders when requested
  • Develop welcome materials, and provide gifts for guests


General Department Support

  • Assist with prospect research and event briefings as determined by the Associate Director of the Archer Fund and Director of Advancement
  • Help with scheduling and meeting planning
  • Pay invoices, log receipts, and reconcile the credit card statement each month
  • Attend receptions, parent events, and other events outside of normal work hours as necessary
  • Liaise with faculty to record student activities

  • Participate in all group efforts to send mail, prepare meetings, and put on events
  • Seize opportunities for mission-moments on campus to better

  • and collegial manner
  • Proficient using MS office and experienced using a donor database
  • Able to work evenings and weekends as required
  • High level of diplomacy and discretion when dealing with sensitive information


Required Education & Experience:
Candidates must have a bachelor’s degree, and 1-2 years’ experience in an office environment, preferably at a school. The ideal candidate will have knowledge of and experience with using a donor data system.
