Our team is expanding, and we are looking for a highly organized, self-motivated Assistant Account Manager to provide administrative and client services support while also assisting with our organization’s marketing efforts. As a nonprofit 501(c)(3) organization dedicated to helping purpose-driven organizations use communications to create positive social change, we work nationally but are grounded in Los Angeles’s rich and diverse culture. This full-time position with benefits is based in our Los Angeles office (hybrid schedule with some remote days), reporting to the Senior Project Manager and working with all members of the account and operations teams.

ESSENTIAL DUTIES AND RESPONSIBILITIES
ACCOUNT & MARKETING SUPPORT

  • In collaboration with the Senior Project Manager and other account team members, ensure the timely and successful delivery of communications solutions according to client needs and objectives
  • Support client services account teams with a variety of tasks including research and development, account administration, communication and marketing projects, and campaigns
  • Provide insight and contribute creative and strategic ideas to improve processes for client services
  • Develop/revise informative documents, spreadsheets, budgets, and reports for client activities
  • Work with vendors to purchase client and marketing related items
  • Assist Project Management, Marketing, and Consulting/Training staff in the production of client- and agency-related materials, including capabilities kits, presentations, and training materials
  • Proofing and copy-editing of public-facing materials
  • Provide support at meetings and presentations, and assist with memos and other deliverables as needed
  • Provide support for a variety of organizational marketing activities, including research, reporting, light website edits, and newsletter administration

 

PROJECT MANAGEMENT SUPPORT

  • In close collaboration with the Senior Project Manager, assist in the preparation of budgets, forecasts, workplans, and workflow schedules of organization and client projects, and monitor and update project timelines
  • Help maintain the project management database and enter data, including purchase orders, budgets, timelines, and contacts
  • Assist with project management for and implementation of special projects
  • Gather and disseminate assets and materials to team members
  • Compile and synthesize data for both internal and client-facing reports

 

CLIENT FINANCE OPERATIONS
Working in collaboration with the Senior Project Manager and Operations Director, support client-related vendor and contractor management, including developing non-disclosure agreements, contracts, and invoices, and maintaining a vendor “pool” list
Administer and manage all client-related purchase orders, and ensure timely payment through Accounts Payable, working in close collaboration with the Senior Project Manager and Operations Director

DESIRED QUALIFICATIONS
EDUCATION AND WORK EXPERIENCE

  • Bachelor’s degree
  • Two to three years of professional work experience (can be combined with fellowship/internship experiences)
  • Agency or nonprofit experience through full-time or part-time employment (can encompass fellowships/internships)

 

SKILLS AND ABILITIES

  • Demonstrated project management skills and experience in a deadline-driven environment
  • Established writing and research skills to include monitoring trends and insights from news media, social media, and reports
  • Strong written, verbal, and interpersonal communications skills
  • Proactive thinker and resourceful problem-solver looking ahead to upcoming projects and tasks
  • Ability to work independently and collaborate with the team
  • Flexibility and the ability to multitask and work well in a deadline-driven environment with excellent attention to detail
  • Comfortable working in a hybrid office/remote environment
  • Experience in event coordination, scheduling, and logistics
  • Strong knowledge of Microsoft Office Suite and familiarity with Mac OS
  • Familiarity with project management software and working with databases a plus
  • WordPress experience a plus
  • Bilingual fluency in Spanish preferred
