The Development Coordinator will lead and manage all in-kind donations and provide high quality general support for the Development department, including working closely with the Events and Special Initiative teams to produce exceptional events. The Development Coordinator position will also provide auxiliary support with volunteerism, planning and management of the agency fundraising events, special initiatives. This is a hybrid role that combines in-person work at the APCH Center with remote work. While APCH is pleased to offer flexible scheduling, our expectation is that the individual in this role will be fully present during regular business hours even when working remotely, participatory in special evening and weekend engagements and on-site at our vibrant campus as required.

Essential duties and responsibilities:

  • In-Kind Donations 
  • Provide and facilitate connection between Development and all other agency departments for any in-kind needs. Serve as a representative of the Development department at all times (includes modeling adherence to APCH philosophy, team support, policies and procedures);
  • Coordinate the logistics and serve as main contact for all in-kind donation pick-up’s or deliveries with the donor and APCH departments such as security, facilities, transportation and programs;
  • Ensure that all in-kind donations of goods and services are processed, entered and tracked accurately in donor database along with assigned financial value; ensure timely acknowledgement of in-kind donations in cooperation with colleagues;
  • Assist as required with monetary donation processing, gift entry and acknowledgment;
  • Manage internal documents and database, currently Google workbooks and Salesforce, to maintain consistent and accurate tracking of assigned values for audits;
  • Reconcile in-kind reports with Accounting Department on a quarterly and yearly basis 
  • Provide accurate and timely reports related to weekly, monthly and yearly in-kind donations as requested; 
  • Coordinate and manage the organization’s in-kind inventory and serve as primary point of contact;
  • Coordinate and manage tracker for all in-kind storage locations;
  • Coordinate and manage the upkeep of all storage areas including shipping containers, upstairs Bridge attic, upstairs dance studio attic, etc.;
  • Manage in-kind training for new employees and interns on proper in-kind receipt protocol
  • Inquire and solicit new donations as needed by the agency; 
  • Complete prospect research of new opportunities and donors that may aid with in-kind contributions;
  • Manage external in-kind resources and database accounts;
  • Available to conduct in-person donation pick-up’s after being cleared and passing APCH’s course to drive agency vehicles. 
  • Donor Stewardship and Engagement
  • Work with Associate Director to ensure timely and appropriate donor stewardship, including but not limited to assisting with visits, stewardship events and special recognition (e.g., garden bouquets or other gifts), in alignment with established stewardship levels and protocols;
  • Support the all-hands production of annual APCH fundraising events; provide back office and general support for events including financial tracking, reporting, logistics and other areas as required; 
  • Serve as an ambassador of the agency including providing tours to donors and other stakeholders, representing the agency at external functions, etc.;
  • Assist with monetary processing as assigned; document donor information and notes in Salesforce for cultivation and stewardship purposes;
  • Adhere to best safety practices at all times;
  • Regular attendance, accountability, and punctuality with regard to work meetings, professional development sessions, and commitments;
  • Provide administrative support as needed for departmental tracking and reporting;
  • Adhere to the highest ethical and professional standards and values at all times;
  • Perform other tasks as assigned



  • Degree: Bachelor’s Degree or equivalent work experience
  • Experience working with donor databases required; Salesforce experience strongly preferred
  • Minimum of 1 years of related experience in areas of gift processing 


Physical and Mental Demands

  • Able to work in a dynamic and high noise level environment typical of a youth center
  • Walking, standing required on daily basis
  • Sitting and use of hands/vision for computer work for extended periods of time
  • Lift up to 30 pounds occasionally, willingness to engage in manual labor in support of agency events and special initiatives
