Administrative Assistant (Temporary), Advancement

The Skirball Cultural Center seeks an enthusiastic and competent team player to serve as the temporary Administrative Assistant to the Advancement department. Reporting directly to the Vice President of Advancement, this full-time, limited-term position is responsible for providing clerical and administrative office support to the Vice President and other members of the department.

Administrative Responsibilities:

  • Report to the Vice President of Advancement and assist in all areas, as requested.
  • Organize and maintain computer and hard-copy files.
  • Maintain various Excel department charts.
  • Answer telephones.
  • Administer written correspondence and its dissemination.
  • Schedule, arrange, and prepare rooms for meetings.
  • Coordinate and track department check requests and invoices for payment.
  • Coordinate with mail house mailings.
  • Attend meetings, as requested; take and distribute notes; assist with organization.


Advancement Responsibilities:

  • Meet and greet visitors of the Advancement department.
  • Coordinate external mailings and communications.
  • Work with the Vice President of Advancement to maintain the donor engagement plan.
  • Coordinate donor events, such as special programs and exhibition openings.
  • Conduct prospective donor research resources.
  • Work closely with the President’s Office staff on donor-related projects and reports.
  • Answer donor inquiries.
  • Assist Membership Manager on an as-needed basis.
  • Assist Grant Writer on an as-needed basis.


Altru Administrative/Donor Database Management Responsibilities:

  • Maintain profiles and histories of Skirball donors and potential donors.
  • Sustain Altru database clean-up.
  • Process invoices, receipts, tributes, and thank-you letters to donors and keep copies for department records.
  • Process check, cash, and credit card donations in Altru; prepare related Altru reports for accounting.
  • Set up new profiles and funding pledges in Altru.
  • Complete Altru Monthly Activity Report.
  • Maintain multiple mailing lists in Altru and one in FileMaker Pro.
  • Administer invitation lists for special events in Altru.


Qualifications, Experience, and Attributes:

  • Three years of successful administrative-assistant experience.
  • Undergraduate degree in English, communications, fundraising, or similar field, and/or equivalent experience.
  • Excellent IT tool proficiency and demonstrated ability to utilize Office 365 applications and Altru or equivalent donor database software, FileMaker Pro, and Zoom.
  • Demonstrated commitment to the Skirball’s mission to welcome the stranger and help build a more just society.
  • Strong organizational skills and the ability to multi-task.
  • Friendly, outgoing demeanor and a team player.
  • Detail-oriented with excellent editing skills.
  • Proficiency at computer research.
