CASA of Los Angeles mobilizes community volunteers to advocate for children who have experienced abuse and neglect. The organization envisions a Los Angeles in which every child in the child welfare system has an advocate and the opportunity to thrive. CASA of Los Angeles is on a path over the next five years to expand services to children in LA County’s child welfare system so that it provides services to a meaningful number of the 30,000 children in the dependency court system every year.
Key to these efforts is growth in the number of volunteers trained each year, the number who stay active in a year, and in revenue raised from community partners and other donors.

Position Overview
The Executive Assistant provides a high level of professional assistance to the CEO. The Executive Assistant also serves as a liaison to the board of directors and CASA/LA leadership team and oversees program-specific projects, as assigned. 

Essential Functions: 

  • Complete a broad variety of administrative tasks for the CEO including managing an extremely active calendar, completing expense reports, credit-card receipt and bill reconciliation, composing and preparing correspondence, and arranging travel. 
  • Manage all assigned projects with the Board of Directors, including maintaining membership rosters/training/engagement, preparing agenda packets, arranging meetings and retreats, luncheons, taking meeting minutes, and coordinating online Board portal.
  • Provide basic administrative support to broader leadership team, such as photocopying, travel planning, preparing meeting materials, and general administrative support. 
  • Act as the “gatekeeper” to the organization, answering phone calls and greeting visitors. 
  • Support the CEO and other leaders by helping with fundraising and other events, staff meetings and events.
  • Provide support to the CASA/LA programs team as needed, including scanning, data entry/database management and preparing/processing program-related documents.  
  • Provide support to the CASA/LA development department as needed, including database entry/management, process incoming donations and assist with special events. Provide excellent customer service to internal and external customers.
  • Other duties and special projects, as assigned.


Knowledge, Skills, Abilities, and Experience Required

  • Strong organizational and prioritizing skills, with excellent attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, external partners and donors.
  • Expert level written and verbal communication skills. 
  • Ability to maintain confidentiality and express sensitive information with discretion and respect. 
  • Demonstrated proactive approaches to problem-solving with strong decision-making capability.
  • Experience with event planning and/or staffing events, preferred.
  • Demonstrated ability to work within a multicultural environment serving children and families of diverse backgrounds.
  • Prefer some college or Bachelor level education.
  • Two years’ experience in an administrative support position.  Prefer experience in non-profit environment. 
  • Highly proficient in MS Office, Visio, and ability to learn/work with new systems/software platforms
  • Ability to operate general office equipment including copiers, printers, virtual conferencing/webinar equipment, and others. 
  • Ability to pass a LiveScan and background check.


Physical/Mental Requirements and Work Environment

  • Temporarily remote, but could be in a shared workspace with varying levels of noise and foot traffic. 
  • Office environment consists of moderate fluctuations in air temperature.
  • Physical requirements include standing, bending, reaching, sitting, grasping, fingering, repetitive motion both hands/feet, and walking.  Lifting requirement is up to 20 lbs.
