Our Impact
College Track students graduate from college at a rate that is more than double the national average for low-income and first-generation students. Six months out of college, 79% of College Track alumni are employed. For those 30 and over, 92% report earnings greater than their parents with wages on par with the national average. By helping our students maximize the value of their four-year college degree, which includes minimizing student loan debt, securing internships, and limiting the need to work while in college--we prepare them to succeed in the 21st century economy.

Position Overview
Reporting to the Vice President of Finance, the Director of Operations oversees all aspects of facilities, student and site risk management, and operations across the organization. The Director of Operations ensures that operations meet high standards of operational excellence, enabling site leaders and staff to focus on driving strong student outcomes. This role will work strategically with senior leaders of the organization and directly manage the Senior IT Manager. 

Primary Responsibilities Include:

Leadership and Strategy (~30%)

  • Develop the overarching vision for the operations function which includes: site operations, facilities, risk management, technology and contract management.
  • Build and execute against a multi-year plan to create an infrastructure that streamlines, standardizes, and strengthens performance, reliability, robustness and scalability across the organization.
  • Collaborate with senior leaders across every department to gauge and improve effectiveness of support and services. 
  • Clearly define and communicate roles and responsibilities across national, regional and site operations as it relates to facilities, risk management, technology and site operations and define escalation paths and transparency around accountability as the organization continues to evolve.


Training and Development for Site Operations Managers (~15%)

  • Partner with Talent Acquisition Team and Site Directors to hire Operations Manager at sites.   
  • In coordination with the National Program Operations team and People team, support the on-boarding of new Operations Managers with training related to their responsibility for site operations and managing the administration of finance, human resources, payroll and technology.
  • Provide access to tools, training, and professional development to ensure that Operations Managers have the knowledge and skills to execute their operational and facilities related responsibilities.
  • Provide direction and support to staff in their operational responsibilities and create a collaborative network of Site Operations Managers across College Track.


Facilities Management and IT Oversight (~40%)

  • Build and maintain a process for multi-year forecasting of capital investments required for new facilities, tenant improvements, and repairs and maintenance.
  • Ensure full compliance with all codes, regulations (local, state, and federal), and safety standards to protect the well-being of all students, guests, and employees occupying the buildings.
  • Budget for all occupancy, capital, facilities, and repair and maintenance, and other related operational expenses across the organization.
  • Implement a facilities management tool to plan and manage the ongoing and evolving needs of the organization efficiently and effectively.
  • Evolve CT’s Facilities Framework to identify financially sustainable parameters and operational considerations for all facilities projects and real estate transactions.  
  • Represent College Track in lease negotiations. Advise on and evaluate all lease agreements with a robust analysis of all financial, legal and operating considerations that are consistent with the business needs of the organization.
  • Project manage all builds and major repairs/renovations to ensure that functional requirements, design standards, budget, and timeline are met, while ensuring compliance with State/Federal regulations.
  • Oversee all building maintenance in the organization and, as needed, serve as a resource for staff in all aspects of facilities, such as vendor selection for facility improvement projects, providing guidance on process and best practices, etc.
  • Resolve all facilities related help desk work order tickets within service standards.
  • Directly manage the facilities for the national office.  
  • Oversee an IT team and consultants to support all systems for a rapidly growing 150 employee national company.
  • Oversee IT vendor selection and relationships; negotiate and manage vendor contracts; support facility vendor selection and relationships.


Risk and Contract Management (~15%)

  • Serve as primary liaison for and manage non-employee risk management programs in the areas of general liability, field trip contracts, volunteerism, vehicles, and ensuring sites uphold safety and risk management protocols set forth in partnership with the People team.
  • Build and implement site risk management assessment tools to monitor performance against key performance indicators and ensure high standards of operational excellence, implementing new policies as needed.
  • Partner with the Accounting team to manage the renewal for business insurance policy to ensure that the organization is adequately protected against risks. 
  • Serve as primary point of contact for all insurance claims submitted by sites.
  • Build and implement a process for ensuring the internal and legal review of all service contracts, partnership agreements, leases, and other legal documents and agreements in collaboration with Accounting and the People team.
  • Develop and maintain a system to review, approve, and track all service contracts and partnership agreements in a central repository.


Skills & Experience Required
First and foremost, the Director of Operations must embrace the College Track vision of transforming low-income communities into places where college readiness and college graduation are the norms. They must embody and model College Track core values and model a deep commitment to improving education equity.

  • Minimum 4-year college degree
  • Minimum 8-10 years of operational management experience required, in a fast-paced, high-growth organization.
  • Minimum of 3 years supervising experience.
  • Demonstrated management and leadership skills; demonstrated success with cross-functional teams.
  • Strong knowledge in IT infrastructure and facility contracts, laws and regulations.
  • Results driven, strong strategic and analytical skills with an aptitude for shifting from fire-fighting to systems-building.
  • Strong excel and google sheet experience.
  • Sense of humility, customer service mindset, and shows urgency and the ability to proactively solve problems and make decisions quickly.
  • Self-starter with a high degree of flexibility and adaptability; feels comfortable operating in fast-paced, ambiguous environments with limited direction.
  • Team player with strong interpersonal and stakeholder management and relationship building skills.
  • Ability to lead, influence, and hold others accountable to upholding high standards of operational excellence.
  • Strong learning orientation (e.g. constant learner, exhibits strong self-awareness of and initiative to develop one’s growth areas, accepts and promptly incorporates feedback).
