Job Title: Administrative Coordinator
Department: Administration
Reports To: Executive Director
FLSA Status: Non-Exempt

Job Description
The Administrative Coordinator provides high-level clerical support to the executive director, performing a variety of secretarial duties, preparing reports, conducting research, and collecting data. Will provide support through a variety of tasks related to compliance, finance and communication. Responsible for confidential and time sensitive material.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Prepares agendas and schedules for meetings, conferences, and other assigned events; takes and distributes minutes or other notes as requested. Prepares business communication
  • Creates agency newsletters, flyers and other outreach/marketing communications as needed
  • Answers inquires, screening when necessary for executive director
  • Oversees social media platforms for Safe Parking LA, i.e. Facebook, Instagram, website
  • Assists with maintaining organizational records and compliance
  • Ensures all invoicing and reimbursements are processed accurately in a timely manner
  • Enters budget data and adjustments into financial accounting software and reconciles any differences.
  • Reviews data and information for accuracy and makes corrections when necessary.
  • Maintains accurate records for all transactions affecting budget preparation.
  • Produces reports and statistical data as needed. 
  • Other duties as assigned 

 

Requirements
QUALIFICATIONS

  • Bachelor’s degree preferred, High school diploma or equivalent combination of education and experience required;
  • 3 years of administrative experience required, experience with social media and communications a plus
  • Ability to work independently with strong sense of focus, task oriented, non-judgmental, clear sense of boundaries
  • Excellent written and verbal communication skills, ability to articulate thoughts and ideas
  • Excellent computer skills and proficient in Excel, Word, Outlook and Access
  • Excellent organizational skills, prioritizing tasks and attention to detail, understanding of clerical procedures and systems of record keeping and filing
  • Excellent math skills and understanding of office equipment, ability to type 40 wpm
  • Valid California driver’s license, auto insurance (as required by law), access to reliable and timely transportation to program sites and off-site meetings
  • Spanish speaking highly desirable

 

Salary Range: $20.00 - $26.00

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Ability to read, analyze, and interpret the most complex documents. Ability to respond effectively to the most sensitive inquiries or complaints.

REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
