About Us
Families of Lone Soldiers (FLS) is a not-for-profit organization dedicated to advocating for IDF lone soldiers and their families. A lone soldier is a soldier who is serving in the Israel Defense Forces without immediate family in Israel. An estimated 3,500 lone soldiers from the United States are serving at any one time. Based in Los Angeles, FLS focuses on helping mainly families in North America but responds to inquiries throughout the world. We provide emotional, psychological, medical, and legal support both in Israel and at home through a dedicated board and collaborative association of volunteers, advocates, affiliates, and mission partners.

Position
FLS seeks a multi-talented self-starting administrator who can skillfully manage and be responsible in a highly organized and time-efficient manner for a variety of office-related duties that will help FLS with its critical work. Ideally, this team member can work independently and be responsible for a diverse set of tasks and will be proud to help support our mission. Our office administrator must understand and execute the role assigned, but he/she can be proactive in molding the job to his/her talents and skills and the needs of our young and growing small organization. The Office Administrator will work diligently to enhance our organization’s functioning, outreach and success.
The Office Administrator is the primary contact for families of lone soldiers, volunteers, mission partners, and the public. This position provides administrative assistance for a variety of activities and programs of the organization, funneling queries and needs to appropriate network members.
This is a great job with someone who has the requisite skills and the desire to do more, be more and grow into and beyond the stated position. While we seek a terrific administrator who is adept at detail and can manage day-to-day operations, this is also a job where you can help define the parameters; if you can successfully manage the administrative tasks but seek growth opportunity, this role is able to expand for the individual who might want more.

Key Responsibilities

  • Serves as contact for telephone, mail, email, social media, and in-person inquiries and ensures that all inquiries are addressed and forwarded to an appropriate person.
  • Prepares and distributes internal and external communications.
  • Coordinates and maintains FLS’s online presence (including web page and social media platforms).
  • Collects information and maintains database of FLS contacts; Lone Soldiers, Lone Soldier parents and family members, volunteers, donors, affiliates and mission partners.
  • Prepares written and on-line materials for programs and events and performs communication functions, assisting with, e.g., newsletters, marketing materials and event promotions.
  • Participates in the implementation and execution of organization’s events and programming; assists in scheduling activities and in arranging for preparation of resources for set-up and tear-down of events.
  • Ensures monies received are remitted to the Board Treasurer.
  • Proactively relays any challenges or concerns regarding organization’s communication or administration to the Board Chair, appropriate Board members in a confidential manner.
  • Provides administrative assistance to the Board of Directors.
  • Performs other administrative assistance functions as assigned.

 

Required Skills and Qualifications
Excellent knowledge of:

  • Effective customer service techniques
  • Microsoft Office Suite
  • Google Docs, Sheets, Slides
  • Correct spelling, punctuation, and grammatical usage
  • Basic publication and web design
  • Social media platforms, e.g., Facebook, twitter, Instagram and LinkedIn…
  • Basic Internet and web browsing techniques
  • Basic computer security and privacy issues

 

Ability to:

  • Fluent verbal communication skills in both English and Hebrew
  • Plan and organize work for maximum efficiency, including scheduling, establishing priorities, and responding to network member needs
  • Obtain and impart information tactfully and accurately
  • Compose written communications in English and Hebrew
  • Operate a variety of computer applications including Microsoft Office and software relating to print media and online publications
  • Demonstrate initiative and good judgment
  • Maintain organized records using Salesforce (we will train); train volunteers; and maintain confidentiality

 

Minimum Qualifications

  • Education: A high school diploma or equivalent is required. A bachelor’s degree or equivalent and/or training directly related to the areas of responsibility is preferred.
  • Experience: Two+ years of experience performing administrative assistant, office management, public relations or communications duties.
  • A bachelor’s degree with coursework in a closely related field may be substituted for the required experience.

 

Location and Travel

  • This is a full-time position, located in our Wilshire Boulevard, Beverly Hills adjacent, Los Angeles office
  • Occasional travel to infrequent area events and board meetings
