Media and Program Assistant

Description

Working under the supervision of the Director of Education, the Media and Program Assistant is primarily responsible for (1) fulfilling Venice Arts’ media management, technology trouble-shooting, digital printing, and equipment needs, including direct set-up and/or support to classrooms; (2) mentor outreach; and, (3) providing assistance and support . Specific responsibilities include:

 

MEDIA AND TECHNOLOGY

Visual Archive and File Management 

1. Using Venice Arts’ archiving protocol, archive photos, films, and multi-media—re-touched and entered no later than two weeks following the end of each session—and assure media is accurately tagged with metadata (e.g., title, name, age, project, keywords, etc.).

2. Archive works from the annual, culminating exhibitions, as well as “best-of” exhibitions (Photo L.A., special events, etc.), and other works as requested, assuring that they are included in their own archive folder by event.

3. Handle all image requests from staff and image preparation (color correcting, resizing, printing, etc.).

4. Train faculty on Venice Arts’ file management protocols, periodically checking to assure that they are being followed, and on managing class files on computers and/or external drives.

 

Photo Documentation and Printing

1. Make prints of youth work, for exhibition and as requested, assisting with installation as requested

2. Document classes, and other activities, at key points in the workshops cycle and when special activities are being held. 

 

Website and YouTube Channel

1. Upload work samples and mentoring images provided by staff Leads at key points in the workshop cycle (start-up, mid-way, end), and post “best of” galleries and/or special project features provided by the program’s creative staff.

2. Update, on a regular, timely basis and working with the Lead Filmmaker, the YouTube channel

 

Tech and Media Support

1. Provide first-line IT and OS support across the entire organization. 

2. Ensure that all office equipment – printers, faxes, phones, etc.—are functioning.

 

Equipment, Labs, Supplies

1. Assure equipment is accounted for and in working order.

2. Organize, maintain, and regularly inventory all equipment following Venice Arts’ protocols.

3. Provide an updated equipment inventory list to the Director of Grants, for review and dissemination to the accountant when new equipment is purchased, or valuable equipment is donated.

4. Wipe computer drives and install new or updated software at least once per year.

5. Assure the software external drive is updated with current software and related licenses.

6. Maintain the “equipment use” and “van use” calendars, sending each to faculty each workshop cycle to assure that program planning considers the availability of space, equipment, van, availability, etc.

7. Maintain a secure method for checking out and receiving back equipment for classes, as well as loaned equipment to Advanced Studies’ students.

8. Outreach to faculty, in a timely manner, to assure that the Supply Order document is accurate prior to the beginning of each workshop cycle and that artists’ needs for materials and equipment are met.

 

Competition and Awards Support

1. Approximately three times per year, support students and/or staff in the upload of visual art to competition websites.

PROGRAM ASSISTANCE

 

Volunteer Artist–Mentor outreach

1. Two months prior to every workshop cycle, assure that updates are made, if needed, to volunteer mentor outreach materials (flyers, forms, online and social media postings, etc.)

2. Disseminate volunteer outreach materials (distribute flyers, online and social media posts, etc.).

3. Provide applications to interested individuals and complete a basic phone screening, describing the roles and time commitment of a mentor, and answering basic questions before referring those who meet base-line requirements for interviews 

4. Keep the Prospective Mentor Process Log —shared with Program Staff—tracking availability, key skill sets, and interests, and the outcome of their meeting with the Lead Filmmaker or Photographer (placed in class, not appropriate, other type of volunteer involvement, etc.). 

5. Maintain a shared Faculty log, which tracks teaching artists and mentors for every class each session, that all documents (LiveScan, DMV, insurance, license, etc.) have been returned, etc.

 

Classroom Support

1. Set-up classrooms, assuring that teaching artists have the materials and equipment required.

2. Identify absences within the first 15 minutes of classes, making follow-up calls.

3. Assure that a mentor is assigned, in each class, to hand-out and receive back all equipment and to check that equipment is functioning, with all batteries and media cards.

4. Do outreach and/or reminder calls for special field trips.

5. Monitor student attendance, communicating regular absences, or other concerns, to the Director of Education and discussing with parents, as requested.

 

Youth & Family Engagement Assistance

1. Provide support to the Admin & Program Assistant for thrice-yearly youth enrollment, including entry of student and family data into the database and that hard folders are accurately filed with all pertinent information.

 

OTHER 

1. Provide other program or organizational support, as requested.

 

QUALIFICATIONS

The ideal candidate is a graduate of a photography, photojournalism, or multi–media program. She or he must be extremely well–organized, detail–oriented, and able to manage multiple priorities. Must have excellent verbal and social skills, and be comfortable engaging other artists and volunteers. She or he demonstrates a high level of expertise with cameras, computers, and software, particularly image management software and the most current versions of Photoshop and Lightroom. Familiarity with Adobe Premiere a plus. Candidate should be familiar with a variety of scanners and large format Epson inkjet printers; extremely comfortable with technology; and experienced with tech–based problem–solving. Applicant must know the ins and outs of Mac OS X 10.5 or higher but need only have a basic knowledge of HTML to apply.

 

Must be committed to the education and development of youth; an understanding of the needs of “at–risk”, low–income youth is a plus, as is experience in a mentoring program. 

 

Salary: This is a non-exempt, full-time position with a compensation package that includes a salary of $33,280 to start, paid vacation and health benefits available after 90-days, and an opportunity to pay into a 401k.
