The Temporary Donor Database Administrator will help the DWC Development team effectively process, track, and acknowledge donations in the form of cash, check, credit card, and electronic fund transfers. The position will utilize the Bloomerang donor database system and will ensure that every gift is entered correctly and that all donors receive timely acknowledgments. This is a temporary three-month position.


Essential Functions

  1. Coordinate with receptionist and Day Center staff to retrieve all mail containing donations
  2. Make copies of all checks and backup documents
  3. Prepare checks and copies for Finance
  4. Utilize Bloomerang donor database to enter donations
  5. Prepare Stripe and Qgiv credit card reports for Finance
  6. Generate all acknowledgment letters for gifts received. Ensure that all donors receive an accurate and personalized acknowledgement letter within one week of their donation, adhering to IRS 501(c)3 tax-exempt organization requirements.
  7. Identify all tribute gifts and send requested tribute cards to recipients weekly
  8. Prepare and send thank you cards to be written by other Development team members
  9. Monitor [email protected] email and respond to inquiries
  10. Maintain data quality and integrity by entering accurate and thorough information into the donor database
  11. Process in-kind donations and corresponding acknowledgement letters in compliance with IRS standards
  12. Prepare materials for distribution, such as copying, filing, mailing, etc.
  13. Other duties as assigned by supervisor

Supervisory Responsibility 
This position does not have supervisory responsibilities.


Work Environment
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

While performing the duties of this job, the employee is regularly required to talk and hear. Specific vision abilities required by this job include close vision and ability to adjust focus. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.


Position Type and Expected Hours of Work 
This is a temporary full-time position. Days and hours of work are Monday-Friday from 9:00am-5:30pm. The position will be filled for three months from December through February. 


No travel is expected for this position.
