We are seeking an Operations Assistant to help keep Cause Communications humming. We’ll keep you on your toes juggling multiple tasks daily, from screening and directing phone calls and visitors, to maintaining our administrative systems and assisting with operational tasks. You will be expected to comfortably communicate with all levels of staff, vendors, and freelancers to enforce deadlines, uphold processes, and gather the information you need to get your job done. About us

Cause Communications is a nonprofit 501(c)(3) organization dedicated to helping purpose-driven organizations use communications to create positive social change. We provide best-in-class communications consulting services, training, and project management for nonprofits and public agencies working on important issues like healthcare, education, the environment, and social justice.

The Operations Assistant is responsible for ensuring the effective implementation of office processes and systems. This position requires a highly organized and detail-oriented individual with excellent customer service skills. This position reports to the Operations Director.

 

Job Responsibilities

General Operations/Administration

  • Serve as the face of the company; offer friendly, professional and polished demeanor in person and over the phone
  • Ensure continuous front desk coverage; screening & directing calls and visitors
  • Manage incoming/outgoing mail, faxes, couriers, shipments, and the office’s master calendar
  • Maintain paper and electronic filing systems for the office; implement new systems as needed
  • Weekly & monthly inventory and supply procurement, with support from Operations Director
  • Print / Compile marketing capabilities kits
  • Daily troubleshooting for all operational issues, with support from Operations Director

 

Facilities Management and Office Duties

  • Maintain clean and orderly office appearance, including the kitchen area & conference room
  • Administer voicemail system, including holiday messages, coordinating repairs/maintenance
  • Provide limited administrative support to staff
  • Assist with managing contact databases
  • Support with employee recognition

 

Project Management Support

  • Enter data into the project management database, including purchase orders, budgets, timelines, contacts, and grants information
  • Research new office vendors/services as needed
  • Generate and track client invoices in collaboration with the Operations Director

 

Minimum Requirements

Education and Experience

  • Bachelor’s degree or comparable training and experience
  • Agency or nonprofit experience preferred but not required

 

Skills and Abilities

  • Excellent communication and interpersonal skills, internally and externally
  • Able to work in fast-paced environments
  • Sensitivity to confidential matters
  • Able to multitask and work well under pressure
  • Strong work ethic and proactive, enthusiastic approach to daily endeavors
  • Strong knowledge of Microsoft Office Suite, Mac operating systems
  • Strong Internet research skills
  • Problem-solver and resourceful
  • Proactive thinker looking ahead to up-coming projects and tasks
  • Ability to work independently and also collaborate with the team
  • Stay current with latest trends in production and technology; experience with WordPress, Mailchimp, Survey Monkey, and other social media platforms a plus
  • Valid driver’s license

 

The Operations Assistant is a full-time position.
