United Friends of the Children empowers current and former foster youth on their journey to self-sufficiency through service-enriched education and housing programs, advocacy, and consistent relationships with a community of people who care.

United Friends has been an integral part of the Los Angeles foster care community since our founding by Nancy M. Daly in 1979. Our early advocacy efforts helped establish the Los Angeles County Department of Children and Family Services and pass the Foster Care Independence Act. Innovations in direct services span from co-founding the first transitional housing program in the nation for former foster youth to the creation of an 11-year education support continuum that follows foster youth from the seventh grade through the completion of a bachelor’s degree.


Position Overview

United Friends of the Children’s Pathways Housing Programs provides residents, ages 18-24, with housing and support services as they seek to obtain stable and secure housing, education, and employment.  Reporting to the Director of Housing, the Program Assistant plays a key role in the Pathways Program, acting as a point of connection for the entire department.  The individual in this position will act as an assistant to the Program Director for day-to-day matters and will provide clerical and administrative support to the Pathways Program.

As a full-time non-exempt employee, the Housing Program Assistant will work standard business hours Monday-Friday and weekends and evenings as necessary.  While United Friends’s downtown office will serve as the Housing Program Assistant’s primary location, working occasional travel to United Friends’s housing sites across Los Angeles County is required.


Duties and responsibilities

Assistant to Program Director

  • Support Director with administrative tasks such as phone calls, managing the calendar, conducting research, and tracking outreach efforts
  • Manage incoming Pathways inquiries and redirect appropriately
  • Record notes and prepare correspondence on behalf of Director
  • Prepare the Director for Board, Pathways Committee, and staff meetings and distribute materials to attendees as requested
  • Support Director with management of department projects
  • Prepare reports using the ETO database as requested by Director


Pathways Program Assistant

  • Conduct effective and professional telephone, email, and mail communications both within and outside the organization
  • Update program demographic and statistical documents (History of Occupancy, Statistical Breakdown, Transition Age Housing Census Report, Resident Roster, AC Caseload Sheet, etc.)
  • Enter data into ETO and HMIS databases as needed
  • Assist with gathering program information for grant reports, LAHSA, HUD, THP Plus, foundations and private donors
  • Compile and submit THP Plus Monthly, Quarterly, and Annual reports within strict deadlines
  • With support of Assistant Director and Director, develop and implement an internal audit process
  • Assist with providing to Data Administrator for HMIS entry and other internal and external reports
  • Organize and maintain all Pathways records; in particular, assist in maintaining and organizing youth filing system for day-to-day use, also assist in preparation of files and data for internal and annual audits in accordance with grant contract requirements
  • Assist in the move-ins/exit of youth by securing resources (e.g. AMEX cards) and ensuring the accuracy and completion of intake and exit paperwork prior to filing
  • Ensure move-in packets, exit packets, and all other necessary paperwork are readily available for use by Pathways team
  • Generate and code P.O.’s, invoices and program receipts (Bus passes, Food Cards, etc.) for monthly expenses
  • Administer Pathways’ petty cash process    
  • Document residents’ Life Skills and special event attendance and administer pre & post-tests/evaluations
  • Update Life Skills section of each resident’s case file regularly
  • Process payments to vendors for Life Skills events or special engagement speakers/workshops
  • Assist Property Management Housing Coordinator with food pantry coordination

Required Qualifications

  • A high school diploma and 2+ years' of professional experience in a related setting
  • Has a positive, respectful attitude and works well in a team setting
  • Ability to establish and cultivate respectful relationships with people from diverse backgrounds
  • Ability to handle confidential information with sensitivity and integrity
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to multi-task and manage the completion of multiple projects, often with shifting priorities, while working under direct supervision or independently
  • Demonstrated ability to be creative, flexible and well-organized
  • Holds self-accountable, sets high expectations for self and others, and relates tasks to organizational values
  • Knowledge and proficiency of Microsoft Word, Excel, Outlook applications and online databases
  • Has reliable personal transportation


Preferred Qualifications

  • Bachelor's degree
  • Experience in a non-profit setting
  • An understanding of and sensitivity to issues concerning former foster care youth
