Operations Director – Cause Communications

 

The Operations Director is responsible for the oversight and direction of all operational aspects of the agency’s client services and internal business functions. The person in this role leads business operations for the agency, keeping key processes running smoothly, leading the creation of new processes where necessary and appropriate, and ensuring that both client and employee processes are functioning at their best and that Cause Communications is operationally sound. The ideal candidate will be a mid-level professional with aspirations to serve a growing agency and who has specific expertise in operations and nonprofit management for services / consulting firms, fiscal management, and human resources.

 

Job Responsibilities

The Operations Director has primary responsibility for overseeing all Cause Communications operations and administrative functions, fiscal functions, policies and procedures, human resource functions, procurement, and facilities.

 

Operations

• Oversight and direction for all administrative and operations functions, business systems, and facilities management

• With the support of an outside vendor, oversee the information technology for the organization including hardware, software, and networks

• Build relationships, prepare and oversee contracts with vendors related to organizational infrastructure, including landlords, IT vendors, database services, event services, program and other consultants

• Research, propose, and implement improved, ongoing administrative processes to establish a standardized, strategic, transparent and efficient approach to core organizational functions

• Oversee compliance with state and federal registration and reporting obligations, including state charity registrations

• Oversee the inventory and procurement of supplies, project manage facility projects

• Limited grants administration and final reports

• Manage and oversee maintenance of the following for Cause Communications:

o Corporate files

o Copyright, trademark, and ISBN apps and records

o Oversee corporate compliance

o Business licenses

o Memberships

o Master agreements with city, county, state, and federal entities

• Lead risk management analyses and recommendations; ensure organization is adequately covered

 

Finance

• Help lead financial planning and organizational budgeting processes, including overseeing budget implementation, planning, financial reporting, and expense tracking

• Serve as primary liaison and supervisor for Cause Communications bookkeeper

• Work with the bookkeeper to chart cash flow and to prepare monthly, quarterly, and ad hoc financial reports for the CEO and senior staff

• Oversee accounts payable and provide management and accounts receivable

• Process bi-monthly payroll with outside payroll service

• Approve and oversee invoices and collections

• Ensure project budgets are meeting goals, in collaboration with the Project Manager

• Manage annual audit process and serve as the primary liaison with audit firm

• Ensure all fiscal policies, procedures and documentation requirements are adequate to protect the organization

• Ensure compliance with internal financial policies and local, state, and federal law

 

Human Resources

• Develop and direct culture centric human resources programs, policies, and practices that serve the organization’s goals, support staff, and contribute to a positive workplace culture, such as building a pipeline of talented staff, increasing diversity, fostering inclusion, and increasing the equitable outcomes of our work, and investing in training, mentorship and leadership development programs for current staff

• Lead recruiting process for new hires, including posting ads, screening, on-boarding of both staff and independent contractors; cultivate pool of potential employees and vendors

• Ensure that the duties, responsibilities, and reporting structure of each job are clearly defined, effective, and communicated to employees

• Update, implement, and provide ongoing management of employee development and employee review processes

• Ensure employee files include up-to-date and current paid leave accrual and balances, forms, job descriptions, salary info, reviews

• Maintain updated personnel and operations policies and procedures codified in the employee handbook and ensure compliance

• Support employee recognition – birthdays, anniversaries, et cetera

• Negotiate, prepare, and monitor all vendor and consultant contracts

• Work with CEO and other senior leadership to consistently create and advance progressive company culture and a trusting work environment that supports productivity and morale

 

Minimum Requirements

Education and Experience

• Bachelor’s degree; Finance or Business Administration preferred; MBA/CPA or equivalent experience a plus

• At least 10 years of professional experience with a minimum of 5-7 years of experience financial and operations management; nonprofit experience ideal

• Experience in budget planning and implementation, reading and analyzing basic financial statements, and nonprofit accounting

• Experience with Quickbooks or similar accounting software required; experience with Quickbase a plus

• Work experience that demonstrates professionalism and the ability to exercise good judgment in stressful circumstances

• HR experience including maintaining personnel files, candidate recruiting, screening, and hiring, employee onboarding and off-boarding

Salary

$75,000 - $90,00 Depending on experience
