Description

Position Summary
The Accounting Assistant will be responsible for the performance and maintenance of LACI’s accounts payable function and providing assistance with payroll processing, in accordance with GAAP, the Uniform Guidance and all requirements applicable to 501(c)(3) organizations. This role will also support the accounts receivable function, maintain the department record keeping system, and assist with ad hoc projects and research. This is a full-time position.

Responsibilities:

  • Accounts payable processing
    • New vendor setup in QuickBooks
    • Review invoices for appropriate documentation and approvals prior to processing
    • Code invoices based on program, contract, etc
    • Prepare A/P aging reports
    • Package and distribute checks
    • Reconcile vendor statements
    • Communicate with vendors regarding invoice discrepancies, outstanding invoices, requesting Form W-9’s, etc
    • Assist with annual Form 1099 preparation
  • Accounts receivable support

Compile vendor and subcontractor invoices and other documentation in preparation for grant/contract billings

  • Record sales receipts
    • Report sales tax information to third party processor
    • Reconcile sales receipts to merchant statements
  • Payroll
    • Review employee timesheets for completeness
    • Follow up with employees with incomplete timekeeping and validating inputs
    • Prepare bi-weekly timesheet summaries for payroll processing by manager
    • Generate monthly physical timesheets and obtaining manager and employee signatures
  • General duties
    • Maintain department digital and physical filing systems
    • Perform ad hoc projects
    • Assist with financial audit preparation

 

Requirements:

  • Bachelor’s degree in Accounting, Finance or Business complete or near completion
  • Minimum of 2-year relevant experience working in an accounting department
  • Experience using QuickBooks Online or QuickBooks Desktop
  • Strong proficiency in MS Excel and Google Sheets
  • Excellent communication, organization and time management skills
  • Flexible, detail oriented self-starter with the ability to work effectively in a fast-paced environment both independently with limited supervision, and within a team
  • Ability to maintain discretion in handling sensitive financial information
  • Non-profit accounting experience strongly preferred
