About this job

The Foundation is seeking an Operations Director. This position is remote, part-time, approximately 40 hours per month, with flexible work hours. The Operations Director works closely with the board of directors to efficiently oversee our business operations.

Roles & responsibilities

Responsibilities include, but are not limited to three primary categories:

Grant Request Management:

• Monitor organizations requesting grants (approximately forty requests a year) via online submission form; answer questions and collect additional information as needed.

• Create a concise summary of semi-annual grant requests to board members; assign up to two grant requests per board member. Grants are given twice annually.

• Send grant checks and letters to approved organizations as well as inform organizations whose requests are denied or fall outside the scope of the foundation.

Board Relations:

• Collaborate with and provide operational support to board members as needed.

• Attend board meetings, approximately four per year, which are a combination of remote and in-person meetings.

• Take detailed minutes at all meetings, including actions and responsible person; timely distribute minutes to board members post-meeting via email.

• Prepare and present donation reports to the board quarterly.

• Assist board members with preparing the foundation’s annual report.

Operational support:

• Respond to all email, social media, and phone inquiries.

• Deposit mailed donations and prepare checks for routine foundation expenses.

• Update/Maintain the website and social media channels.

• Create, maintain and execute a communications content plan, including:

• Semi-annual newsletters and quarterly blogs.

• Twice weekly posting on each social media channel, including Facebook, Instagram and Bluesky, promoting the work of our grant recipients, Leo’s books and quotes, etc., to all channels.

• Maintain and update a database of interested parties with all contact information, grant requests, grant recipients, and donations. Thank all donors via email promptly.

• Gather information requested by the Foundation’s Treasurer to prepare state and federal tax returns and ensure all required state and federal forms are filed annually.

• Renew Directors & Officers insurance annually.

Qualifications

Job Requirements

• Bachelor’s Degree or higher. Self-directed and well-organized with excellent communication skills.

• Competency with office operations, proficiency in Microsoft Office Suite products; basic computer tasks and data entry are required.

• Experience with social media/blogging.

• Competency with website management is required.

• Prior experience with non-profit foundations is preferred.
