About this job

Step Up is seeking a detail-oriented and mission-driven Philanthropy Coordinator to support our fundraising and stewardship efforts. This role will manage gift processing, donor stewardship, volunteer coordination, data management, marketing engagement, and administrative tasks to ensure the smooth operation of our philanthropy team. The ideal candidate is highly organized, proactive, and passionate about supporting individuals experiencing severe mental health conditions and chronic homelessness.

PAY RANGE: $24.04—$29.81 / Hour

Roles & responsibilities

DUTIES: The following reflects the essential functions of this position. Other duties may also be assigned as needed.

Donor & Gift Processing

- Process, log, and reconcile donations, including online gifts, checks, and in-kind contributions.

- Prepare and distribute daily gift reports to senior leadership to ensure transparency and informed decision-making.

- Maintain donor records, assign follow-ups, and ensure acknowledgment letters are accurate and personalized.

- Handle the logistics of PR and fundraising mailings such as newsletters, invitations, and donor updates.

Stewardship & Engagement

- Maintain donor stewardship workflows, track interactions, and send personalized thank-you or lapsed donor letters.

- Respond to volunteer inquiries, provide onboarding guidance, and track volunteer activities in the CRM.

- Monitor social media, engage with comments using approved responses, and track engagement.

- Manage the lapsed donor campaign, reviewing donor profiles and sending outreach letters as needed.

- Provide marketing materials, including logos, templates, and flyers, to program staff to ensure brand consistency.

Data & Reporting

- Maintain accurate donor and volunteer records, update contact notes, and track follow-ups.

- Track time & effort reports to ensure accurate submission and approval.

- Organize and manage files to ensure easy access and retrieval.

- Maintain a log of photo usage for marketing, donor updates, and related materials.

Administrative Support

- Process check requests, ensuring approvals, accuracy, and timely tracking until payment completion.

- Schedule Zoom meetings for the philanthropy team and external contacts.

- Assist with the Member Story Program, including identifying compelling stories, obtaining permissions, conducting interviews, scheduling photo sessions, and ensuring members receive small gifts.

- Handle ad hoc tasks as needed to support the philanthropy team.

Qualifications

QUALIFICATIONS:

- Bachelor’s degree or equivalent experience in nonprofit development, marketing, administration, or a related field.

- At least 1-2 years of experience in fundraising, donor relations, or administrative support preferred.

- Strong attention to detail and excellent organizational skills.

- Ability to manage multiple tasks efficiently and meet deadlines.

- Experience with CRM systems (e.g., Virtuous, Salesforce).

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfort with online tools.

- Strong written and verbal communication skills.

- Ability to work collaboratively in a team environment and interact professionally with donors and volunteers.

- Access to reliable transportation.

SKILLS:

- Proficiency in donor database/CRM software (e.g., Virtuous, Salesforce)

- Excellent writing, proofreading, and communication skills

- Strong accuracy in data entry, reporting, and financial reconciliation

- Experience in social media management and engagement

- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

- Knowledge of mail merge, bulk mailing, and gift processing

- Exceptional attention to detail with strong organizational skills

- Ability to multitask, prioritize, and meet deadlines effectively

- Ability to maintain discretion in handling confidential donor information

- Problem-solving mindset with adaptability in fast-paced environments

- Team-oriented with a proactive and independent work ethic

- Professionalism, efficiency, and composure under pressure

- Event and volunteer coordination experience (preferred)
