About this job

The Skirball Cultural Center seeks an enthusiastic, creative, and competent team player to serve as Advancement Events and Database Coordinator. Reporting directly to the Vice President of Advancement, this full-time position is responsible for the planning and management of Skirball donor and member cultivation events, as well as coordinating private events hosted by existing and prospective donors. This position is also responsible for database maintenance, including guest list generation, event attendance reporting, and documenting donor engagement. This position requires strong attention to detail as well as the ability to regularly interface with the Skirball’s donors and members to help the Advancement team achieve its fundraising goals.

This position will require regular on-site work to support the operations of the Advancement department and manage on-site donor and member cultivation events. This position will regularly require evening and weekend work. Qualified candidates must have an adequate home office for periodic remote work.

Starting salary range: $29–31 per hour

Roles & responsibilities

Event Planning and Management

Plan, coordinate, and manage monthly donor cultivation events hosted on-site and virtually by the Advancement department

Develop and maintain invitation lists, track RSVPs, respond to reservation inquiries, and create seating charts

Assist in the development and editing of invitations and related event communications

Assist with donor and member cultivation and stewardship

Work closely with the Skirball’s Hospitality and Private Events team to prepare, review, and submit event orders, secure room reservations, create floor plans, develop event menu and flow, and develop creative themes for events

Conduct weekly review of the Skirball’s event calendar to identify opportunities for Advancement introduction; deliver public welcome remarks; liaise with Hospitality team to provide Skirball and Advancement marketing materials

Liaise with the Public Programs department to successfully plan and develop donor stewardship events related to public programs and exhibitions

Coordinate invoices, check requests, and vendor payments related to events

Manage meetings as requested, take/distribute notes, assist with organization and distribution of event information in a timely manner

Stay apprised of Los Angeles cultural calendar to identify dates for Advancement cultivation events

Serve as liaison to Hospitality team

Oversee volunteers during donor cultivation events

Assist in monitoring and preparing annual Advancement event budget

Donor and Member Support

Be a knowledgeable representative of the Skirball Cultural Center’s mission and history

Provide excellent service to members, donors, and key partners in person and via phone/email

Contribute to the Advancement department’s fundraising and membership goals

Donor Database Management

Administer invitation lists in Altru

Manage invitation distribution, track RSVP lists, create seating charts, and oversee event details in various event management platforms

Maintain Altru database clean-up

Prepare and manage various Altru event activity reports and queries

Qualifications

5 years of successful experience in event planning and management; experience working in a development department for a nonprofit preferred

Highly creative and strategic in developing engaging and productive donor cultivation events

Excellent customer service skills and experience interacting with donors/high-profile clients

Undergraduate degree in business, communications, fundraising, or similar field, and/or equivalent experience

Excellent IT tool proficiency and demonstrated ability to utilize Office 365 applications, Altru or similar donor database software, FileMaker Pro, Zoom, and event management platforms

Strong organizational skills and the ability to multi-task

Detail-oriented with excellent editing and data entry skills

Proficiency navigating online directories and databases, conducting prospect research, preparing donor/client profiles

Friendly, outgoing demeanor and a team player

Demonstrated commitment to the Skirball’s mission to welcome the stranger and help build a more just society
