Safe Parking LA provides safe overnight parking to facilitate stability and housing in Los Angeles County for individuals living in their vehicles, and advocates for fair and equitable treatment and resources for the unhoused. By employing underutilized parking lots, Safe Parking LA fills a gap in homeless services and addresses the unique problems faced by adults and families whose only source of shelter is their vehicle. Our programs provide safety through secure overnight parking, basic dignity by restoring much-needed access to restrooms and running water, and empowerment through strengths-based case management to facilitate pathways to stable housing.

Safe Parking LA, a non-profit homeless services organization, is looking for a full-time Executive Assistant position. Seeking a highly self-motivated individual to support the Executive Director through effective leadership, sound judgment, and impeccable organization. This is a well-positioned opportunity to learn the inner workings of a successful nonprofit in a team-oriented environment. This is a great role for a rising project manager, particularly one with a passion for social justice work and a dedicated pulse on organizational culture.

This position reports to the Executive Director and supports communication and strategic decision making across the entire Executive Team. Serves as the liaison to the Board of Directors and committees. Works cross-functionally and ensures that the Executive Director is apprised of key initiatives and projects and stepping in to move things forward wherever necessary.

Roles & responsibilities

- Ensure the Executive Director’s schedule runs smoothly, which involves scheduling appointments, preparing agendas, reports, and handouts prior to meetings, and assisting with follow-up; manage calendar and email as needed.

- Provide high-level administrative support to Executive Director, preparing professional correspondence, including emailing, copying, preparing documents and reports, conducting various research projects, and designing presentations; extend the external reach, identifying key messages and target audiences on behalf of Executive Director.

- Support Board of Directors by coordinating Board meeting logistics, calendars, board reports, correspondence, and meeting materials; provide clerical support to the Board of Directors, including emailing monthly meeting announcements and agendas, taking Board Meeting and Board Committee Meeting minutes, preparing Board resolutions, preparing, and distributing Board Reports, and prioritizing Board Member inquiries. Support with the on-boarding of new Board Members as well as updating Board Manuals. Continuously update Board contact information and related lists to ensure that staff always has access to the most current information.

- Support development/marketing administrative activities as necessary.

- Support external inquiries and invitations on behalf of the agency.

- Prepare monthly expense reports and submit reimbursements for the Executive Director.

- Arrange for travel accommodation for the executive team for conferences or meetings.

- Take lead administrative and content roles in planning special projects/task forces, staff committees and meetings, Annual Board Meeting, and fundraising events.

- Elevate issues about which the Executive Director should be aware of and frame/position ideas to resolve concerns and/or mitigate risk.

- Coordinate and/or conduct tours for guests who may be visiting with the Executive Director.

- Other duties as assigned by the Executive Director.

Qualifications

- Bachelor’s degree preferred

- 2 years of experience working with senior leaders, ideally in a non-profit organization

- Experience in fields such as communications, public policy, community relations and or fundraising a plus

- Continuously uses feedback and embodies a growth mindset to improve work product and systems

- Exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, organizational skills, and the ability to maintain a balance among multiple priorities.

- Demonstrate sound knowledge of Board governance processes and procedures

- Impeccable, clear, direct, and courteous written and verbal skills are a must

- Exceptional presentation skills, including ability to communicate organization’s strategy.

- Ability to assimilate a high volume of information across departments and work streams,

providing leadership and support to senior staff

- Ability to work with a wide range of people representing various backgrounds, levels of training, and career stages

- Strong and sound problem-solving, decision-making, and multi-tasking and follow-up skills.

- Must be highly intuitive and adapt to the way of thinking of the executive director and

leadership to make calculated decisions when supervision is not available; able to accurately reflect the executive director’s position in meetings to help drive understanding of her views.

- Maintain confidentiality with discretion in support of the Executive Director

- Intermediate proficiency in Microsoft Office Suite

- Ability to display understanding of the complexity of racism, poverty, and concerns unique to

people experiencing homelessness.

COMPENSATION, HOURS, AND BENEFIT

- Annual Salary: $60,000-$65,000

- Hours: Average 40 hours per week. Work outside normal business hours, including occasional evenings and weekends, is expected depending on agency need. Exempt position

- 80% remote work / 20% in-office

- Mental Wellness time off scheduled annually
