Hourly Rate: $18.79

The following provides a general description of duties and a more specific description of requirements for the Junior Office Clerk. Please note that the summary of responsibilities and required abilities identified below are not to be construed as an exhaustive statement of duties, responsibilities, or requirements.
The Junior Office Clerk (JOC) will report to the Administrative Lead and will provide general support to the Office of Violence Prevention (OVP) and its multiple initiatives. The JOC will be assisting in special projects that require researching, gathering, and organizing information from various sources and will provide support to the day-to-day operational needs of the department.
Roles & responsibilities
The duties of the Junior Office Clerk include, but are not limited to:
• Performs clerical duties including data entry, filing, and completion of simple forms
• Manages conference room calendar and reservation
• Provides logistical support for meetings, procure locations for internal and external meetings
• Assists as receptionist, notifies staff of visitors, and connects visitors to the appropriate OVP personnel
• Assists callers and appropriately directs calls; Answers questions from the public, county departments and other DPH programs and provides information, takes messages and routes all general telephone inquiries to specific personnel. Ensure all voicemail messages to main office number are taken and given to appropriate staff members
• Provides support in issuing, tracking, and securing parking validation tickets to community partners for internal meetings scheduled by the OVP staff and documents and maintains log of parking validations
• Maintains stock to determine inventory levels; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies, and inventory for the department
• Monitors office equipment operation; communicate with appropriate county department, building facility and vendors for repairs
• Collects and distributes all incoming mail and courier items, processes outgoing mail
• Assists in county business document delivery and pick up using personal vehicle as needed
• Performs other related clerical duties as assigned
Qualifications
Minimum Qualifications
• One year of office clerical experience
• A valid California driver’s license, proof of vehicle insurance, and reliable transportation or the ability to utilize an alternative method of transportation when needed to carry out essential functions -OR- A certificate or Associate of Arts degree in clerical procedures or office administration from an accredited college or university

• Ability to type at least 45 words per minute

• Ability to work collaboratively with multidisciplinary professionals and partners, both internally and externally
• Ability to work in a professional manner, with courtesy, maintain confidentiality, security of documents and information
• Proficient with Microsoft Office Suite (MS Excel, Outlook, OneDrive, PowerPoint, Teams, Word)
