Woodland Hills . OUR HOUSE Grief Support Center seeks a full-time, Clinical and Volunteer Coordinator Job Description and Specific Duties: Diverse job responsibilities that center around coordinating Adult Programs, including support groups; assisting the team and Clinical & Community Education Coordinator - ADULT CEU with duties such as conducting groups and pre-group appointments; assisting with data management; participating in educational presentations with ultimate responsibility of overseeing continuum of volunteer coordination, including but not limited to screening, interviewing, training, and collaborating with Development and Operations regarding all aspects of Volunteer Coordination process.
Roles & responsibilities
Specific Duties:
In-House Support Groups
· Conduct adult grief support groups (minimum 2 groups at a time)
· Be available for practice needs in person in the office minimum 2 evenings per week
· Participate in the rotation of supporting 218 Intake process, assuming clinician on duty (COD) coverage as well as participating with evening on call (EOC) shifts
· Conduct phone and in-person pre-group appointments (minimum 6 per week)
· Communicate with Operations team regarding needs for data entry
· Set up and maintain group files in collaboration with Operations Team
· Maintain contact with prospective group members on the waitlist
· Coordinate & set up new groups for adult program (communicate with leaders/group members)
· On-going communication with current group members as clinically indicated
· Respond to telephone and email concerns from group members & group leaders
· Make referrals to individual therapy/other types of support as appropriate
· Develop new activities and resources for use in group
· Maintain, and expand poem resources and approve submissions from staff, group leaders and group members
Data Management
· Oversee/assist with all adult team data management, including collecting data from team members and preparing clinical figures for Board Report
· Participate in agency-wide data management process improvements & comparative Board Report
· Calculate and tabulate Volunteer Contributed Services for the annual Board Report
· Evaluate and update playbooks and activity books as needed
· Ensure that group surveys (pre/mid/post) have been administered per protocol and collaborate with Clinical and Community Education Coordinator -ADULT CEU (WH) in data management & preparation
· Track and analyze volunteer applications, trainees and volunteers though the screening process as well as volunteer group leader retention
Volunteer Group Leaders and MSW Interns
· Recruit, interview, and train volunteer group leaders
· Track and oversee group leader concerns
· Provide individual consultation to group leaders as needed
· Update training materials as needed
· Conduct bi-weekly supervision to group leaders as needed
VOLUNTEER COORDINATOR
General Duties
· Maintain and continually improve volunteer coordination process
· Communicate regularly with staff and appropriate agency personnel regarding volunteer needs
· Devise and update practice guidelines for volunteer activities and processes
Volunteer Outreach and Recruitment
· Collaborate with Development team in the area of Volunteer Outreach and recruit for both English and Bilingual English/Spanish volunteers including social media campaigns, events, word-of-mouth and other methods used for recruitment
· Respond to all volunteer opportunity inquiries
Volunteer Screening and Training
· Oversee the operations of the volunteer screening and training, including review of applications, phone screenings, interviews and training
· Ensure adherence of documentation of all applicants on the Prospective Volunteer Profile system
· Proactively initiate the planning and scheduling of volunteer training and training materials in coordination with the Clinical and Operations teams
· Coordinate with Marketing and Development to advertise training dates on Newsletter/website..etc
· Oversee maintenance of fingerprinting and other screening records for all volunteers with appropriate Operations staff
Volunteer Management, Training, and Sustainment
· Coordinate and oversee volunteer process, from recruitment to training to appreciation and sustainment
· Implement the newly devised annual evaluation and systematized record keeping for each Adult Team volunteer with all of their documents in one centralized place for increased organizational accountability and intentional documentation of coaching/support and personnel issues
· Develop practice guidelines to structure staff involvement with screening and training
Volunteer Appreciation
· Assess and coordinate providing ongoing volunteer appreciation
· Partner with Development and Operations staff on coordinating volunteer appreciation activities including April volunteer appreciation month and end of year holiday appreciation luncheon event
Education
· Participate in In-Service Trainings about the agency and grief support for therapists, social workers, graduate students, school personnel, clergy, medical professionals, educators, nursing home administrators
· Facilitate Medical Education trainings as needed
Outreach/Networking in the community
· Continue to establish OUR HOUSE as a leader in the field by establishing and enhancing professional connections within the community
· Initiate and respond to outreach calls with therapists, agencies and schools
On-Site Grief Response
· Respond to requests from businesses and agencies in community for short-term grief support as needed
Professional Development
· Remain current with latest theories and bereavement research; maintain a working knowledge of significant developments and trends in the field of adult grief support
· Attend conferences and continuing education to increase skills and knowledge
· Share knowledge obtained with other clinical team members

Qualifications
Qualifications: Master’s degree in social work or psychology related field required, with experience in mental health assessment preferred with experience working in bereavement and/or trauma-focused programs with adults; warm and personable; strong organizational, writing, public speaking skills. Systems and detail-oriented, strong interest in working with grief and loss. Bilingual in Spanish preferred
