About this job

The Program Assistant will support the Executive Director and other staff with significant administrative functions, including financial recordkeeping, event scheduling and program logistics, and donor acknowledgement. They will manage program surveys and data analysis, and assist with creation of monthly email newsletter. May occasionally be requested to support in person with monthly Saturday program events.

Roles & responsibilities

• Maintain current financial records, track and upload donations, receipts, and pledges in our CRM and virtual files

• Ensure donors are properly acknowledged within two days of receipt of donation.

• Submit monthly reports to Finance team for reconciliation

• Update and record program surveys, analyze responses, and prepare reports for Executive Director

• Record minutes of staff meetings and track assigned tasks in CRM

• Carry out operational and clerical duties specific to the position, and support at special events

• Assist with creating printed fundraising materials and producing mailings.

• Provide basic information to client inquiries and direct follow-up requests to staff members in a timely manner

• Perform other related duties as assigned

Qualifications

• Associate or Bachelor’s degree

• Strong computer skills and knowledge, including word processing, database operations, spreadsheets and other software systems.

• Bookkeeping or financial recordkeeping experience, preferably in nonprofit space

• Proficiency in Quickbooks and CRM databases for data entry and reporting

• Excellent verbal and written communication skills, including organizational, detail, and interpersonal

• Excellent phone skills

• Detail-oriented, with exceptional time management capability to handle multiple tasks and deadlines

• Ability to collaborate and work as a member of a team

• Background check required upon employment

• Demonstrate a quality customer service attitude at all times

• Must own a dependable working laptop

• Ability to work a flexible schedule, including some evenings and weekends
