About this job

The Administrative Assistant, Council Relations provides administrative support across the development department of the Library Foundation with a focus on The Council, one of three major fundraising groups. Reporting to the Director of Council Relations, the Administrative Assistant will support membership renewal and stewardship efforts, help plan and execute programs and events, and be one of the primary contacts for the LFLA membership database and website.

Roles & responsibilities

  • Assistance to the Director of Council Relations:
  • Managing the Director’s meeting schedule and logistics
  • Ensure proactive preparation of the Director’s meetings (research and notes)
  • Provide donor reports to Director as requested
  • Assistance to the Council of the Library Foundation:
  • Serve as first point of contact for Council Membership, responding to telephone and email inquiries
  • Prepare and send Council e-mail communications
  • Maintain an accurate record of events and donor information in Raiser’s Edge NXT
  • In partnership with the Director of Council Relations, work with the Director of Special Events to assist with major annual fundraising events such as the Literary Feasts, the Council Literary Series, Annual Awards Dinner, and special occasions central to Foundation fundraising
  • Assist with stewardship, cultivation, and solicitation for other Development areas including, but not limited to, Membership, Major and Planned Giving, Corporate and Foundation Relations, and Events as needed
  • Update LFLA website and MobileCause donation pages, as needed
  • Other duties as assigned

Qualifications

  • At least 2 years of administrative experience in a comparable work environment
  • Ability to embrace and endorse the mission of the Library Foundation
  • Energetic professional with the interpersonal and communication skills to manage donor relationships
  • Demonstrated ability to work collaboratively with volunteer leadership and colleagues
  • Experience with CRM software; experience with Blackbaud/Raiser’s Edge is a plus
  • Proficiency with MS Office Suite (Outlook, Word, Excel)
  • Experience with event and marketing software, such as Eventbrite and Mailchimp
  • Thorough attention to detail, commitment to accuracy
  • Ability to maintain confidentiality and discretion
  • Excellent oral and written communication skills
  • Ability to work independently and creatively solve problems as needed
  • Ability to work some nights and weekends for events when needed (with advance notice)
  • Location: Hybrid schedule; 3 days per week in-office, remote option for 2 days per week; on-site work is performed at various locations, including the Central Library in Downtown Los Angeles and other event venues. Work must be performed in or near Los Angeles, CA.
