About this job

Program Coordinator will be an employee of Harbor Freight Tools, which will donate the Program Coordinator’s services to the foundation. The Program Coordinator is a pivotal member of a small, entrepreneurial team, contributing to idea generation, strategic thinking and the foundation’s core operations. The Program Coordinator will be responsible for anchoring key administrative functions that support the foundation’s grantmaking and grants processing, and a wide variety of convening, due diligence and outreach functions undertaken by program staff. The Program Coordinator will also support the foundation's flagship program, Harbor Freight Tools for Schools, and its work advancing skilled trades education in public high schools across the United States.

Roles & responsibilities

Anchors administrative functions of The Smidt Foundation program team, coordinating a wide variety of supportive tasks, including preparing expense and travel reports.

Arranges and supports team-related meetings and follows-up with a wide variety of external partners, grantees, advisors and community members.

Coordinates and supports weekly meetings with program, legal and finance teams.

Builds and maintains a database of like-minded funders and other entities.

Assists program, legal and finance teams in the careful operation of the grant making process.

Conducts and summarizes research on fields and topics of interest to the foundation.

Prepares analyses of issues and prospective grantees and drafts meeting agendas and summaries.

Participates actively in teamwork in support of Harbor Freight Tools for Schools.

Ensures digital files related to grantees and foundation initiatives are arranged and maintained in exceptional order for knowledge sharing and reporting.

Contributes to the foundation’s digital databases including its grants management process and system.

Maintains program team calendar and supports foundation strategic planning.

Represents the foundation at a select number of programs related to grantmaking and philanthropic excellence and in fields of interest to the foundation.

Supports foundation operations, including budgets and tax filings.

Stays abreast of current developments in the foundation’s fields of interest as well as philanthropic trends and opportunities for collaboration.

Performs other duties as assigned.

Qualifications

Education and/or Experience

Bachelor’s degree preferred.

4+ years comparable experience, 2+ years in non-profit, philanthropy or related field preferred.

Skills (Preferred / Desired)

Proficient using standard Microsoft Office (Word, PowerPoint, Excel, Outlook)

Proficient using MailChimp

Proficient managing data systems

Experience utilizing a grants management software system, e.g. SmartSimple
