About this job
Friends of the LA River (FoLAR) seeks an organized and collaborative Office Coordinator to enhance FoLAR’s presence in the community in support of the work of the organization. The office coordinator will work approximately 25 hours per week, 10:00 am-3:00 pm Monday-Friday, plus occasional special events throughout the year (quarterly board meetings) and during weekends and evenings as needed. This is an in person role taking place at the FoLAR office (570 W Ave 27th Street, STE 250, LA, Ca 90065).
Roles & responsibilities
RESPONSIBILITIES
Provide administrative support for the executive team as needed, including scheduling meetings, processing contracts, sending reminders, and coordinating logistics when necessary.
Oversee and maintain the general management of the office, including but not limited to: office supplies, office equipment/technology, office celebrations, office cleanliness, and maintaining an organized google workspace.
Field incoming calls and emails to FoLAR's main office line and FoLAR's public-facing Contact email.
Process office mail and deliver to appropriate parties.
Weekly log incoming checks and travel to the bank to deposit them.
Support with general office administration, including processing permit applications, supporting grant billing.
Post job or internship opportunities on various platforms as needed by organization departments.
Support quarterly Board Meetings - schedule meetings, assemble board packages, and attend meetings to take minutes.
Support the Chief Operating Officer in onboarding new hires/interns.
Support the Director of Communications with the internal management of the FoLAR website and ensure all events are posted on the website events calendar.
Manage FoLAR’s off-site storage unit, keeping the unit organized and tracking stock of supplies, t-shirts, etc., and replacing as necessary.
Innovate ways to increase the sustainability and lessen the ecological footprint of FoLAR’s events and general operations.
Qualifications
QUALIFICATIONS
Exceptional communication, interpersonal, and negotiation skills required;
Ability to work across various levels of the organization while building trust and fostering collaboration;
Ability to multi-task and juggle multiple projects under deadlines;
Motivated to seek out innovative, creative, and modern ways to project manage, communicate, and elevate events on a regular basis;
Must be a flexible, proactive, DIY-oriented, creative problem-solver with positive demeanor, and work well under pressure;
Must be self-motivated, organized, and detail-oriented;
Must have flexibility with scheduling and available to work weekends and evenings;
Must have a valid California Driver’s License with a clean driving record;
Must be authorized to work in the United States on a full-time basis for any employer;
Spanish language skills a plus;
