Estolano Advisors is currently working remotely from home and conducts all meetings via phone or video conference. Due to physical distancing measures to reduce the spread of COVID-19, this position will begin remotely.

About this job

The Administrative Assistant will perform a variety of administrative duties to support our CEO, project teams, and operations staff. This position is Full-time, compensation ranges $17—22/hour (depending on experience), and Professional development budget.

Vesting occurs after first year.

Paid time off: 15 vacation days; 15 paid holidays (11 federal, César Chávez Day, Juneteenth, Indigenous People’s Day); and 1 additional day from a list of inclusive cultural, religious holidays or your birthday; and a 5-day paid holiday for the last week of December between Christmas to New Year’s.

Roles & responsibilities

• Coordinate team meetings and events

• Manage office equipment and supplies inventory

• Collect credit card receipts from staff and match up to monthly credit card statements

• Collect and review monthly reimbursement requests from all staff

• Prepare client expense reports

• Provide administrative support to all staff

• Assist with monthly invoicing and ongoing contracts management

• Additional duties as assigned, such as providing IT- or HR-related support to staff


While performing the duties of this position, the employee is regularly required to sit or stand at a variable-height desk, use hands, communicate via telephone and computer, reach with hands and arms, and lift up to 30 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

Excellent written and oral communication skills. Strong proficiency with Microsoft Office (Word, Excel, PowerPoint. Ability to troubleshoot IT issues; bookkeeping and HR experience; and/or experience with Adobe InDesign, social media platforms, and/or web development software are pluses but not requirements.

Candidates must have work experience in the following:

• Strong written and oral communication skills

• High proficiency in Microsoft Office Suite and internet research

• Effective time management and organizational skills
