Dual Reporting: Co-CEO, Bad Robot Productions and Executive Director, Family Foundation
Location: Hybrid – In office three days a week (Tue, Wed & Thurs)
Pay Scale: $36.44 - $38.67/hour ($90,000.00 - $95,500.00)*
*In a typical workweek, you will be paid for 40 hours of work at your regular rate and 5 hours of work at 1.5 times your regular rate, which equals the noted annual rates
Roles & responsibilities
Responsibilities (Supporting Co-CEO, Bad Robot Productions)
• Provide administrative and high-level support for the Co-CEO.
• Manage and maintain a dynamic calendar, regular schedule and appointments.
• Serve as first point of contact with department heads and other external parties.
• Assist with special projects, research, and compiling information as needed.
• Coordinate with executive to ensure approval on all personal and business items.
• Provide meeting and presentation support including meeting planning, creation of materials where needed, confirming technical requirements, printing, projecting and displays, distributing materials accordingly.
• Maintain efficient flow of information. Streamline office/administrative set-up; create time-saving measures and being quick to respond to requests and is completely dependable on follow-through.
• Assist with coordinating company gatherings and planning and executing company activations.
• Assist with coordinating and planning external events hosted onsite.
• Practice high level of confidentiality and discretion regarding sensitive material and information.
Responsibilities (Supporting Executive Director, Family Foundation)
• Provide administrative support to the Executive Director, Family Foundation.
• Assist the Executive Director with duties including but not limited to filing request materials, tracking requests, vetting requests, communicating with applicants and grantees, stewarding grants, and maintaining grant records.
• Maintain the Foundation’s calendar, including events, meetings, and deadlines.
• Schedule meetings and prepare meeting briefs for the Executive Director as requested.
• Assist with special projects, research, and compiling information as needed, including researching the current landscape for the Foundation’s strategic priority areas and researching the current philanthropic and political landscape.
• Represent the Foundation at select philanthropic events as requested.
• Attend, take notes on, and track tasks arising out of weekly meetings with Foundation team.
• Create and track grant agreements, award letters and other applicable charitable documents.
• Practice high level of confidentiality and discretion regarding sensitive material and information.
Qualifications
Requirements & Qualifications
• BA/BS degree required and a minimum two years of work experience in relevant philanthropic or administrative position.
• Strong interest in social justice, philanthropy, and politics.
• Excellent judgment and discretion, especially when handling sensitive and confidential information.
• Meticulous attention to detail and ability to turn tasks around quickly and without error.
• Outstanding time management, multi-tasking, and organizational skills.
• Strong interpersonal, verbal, and written communication skills.
• Ability to work enthusiastically and with exceptional professionalism in a fast-paced environment.
• Entrepreneurial spirit with the ability to work in a team environment.
• Strong command of Microsoft Office and Google Suite, as well as familiarity with project management tools (AirTable experience is a plus).
• Experience with Fluxx or similar grant management databases is preferred.
