About this job

The Donor Database Administrator will serve as the lead administrator for the development database (included but not limited to Salesforce) to ensure that all development sub-units including working with individual donor data. Acting as the primary lead for donor database projects, updates and conversations including but not limited to planning, implementation and training of Development staff. This position works closely with all staff, including Program and Finance staff, and reports directly to the Director of Institutional Giving.

Roles & responsibilities

33% Grants Database Administration

Serve as main point-of-contact and lead administrator for the Development database (Salesforce CRM).

Maintain donor databases in a manner that ensures the integrity of the data and maximizes fundraising success.

Document database policies and procedures and work with the Development and Program teams to ensure that data is up-to-date and accurate.

Identify areas of process and efficiency improvement and ensure funder/donor tracking workflows are functioning correctly (e.g., membership automations, Salesforce integrations with Classy and other software, etc.).

Coordinate and work with the Development, Finance. and Programs teams to reconcile financial and impact data, and centralize and maintain records of all funder/donor interactions e.g. grant agreements, report requirements, documentation of calls and meetings.

Create and analyze Salesforce reports for all Development functions to track progress, support campaigns and mailings, inform fundraising strategy, and increase efficiency of daily tasks.

Enter grants information into Salesforce in a timely and accurate fashion.

Ensure data integrity by regularly running data entry verification reports, correcting mistakes, and communicating all amendments to appropriate staff.

33% Individual Donor Data Administration

Serve as the main point of contact and lead administrator for the Development donor databases as it pertains to data management of individual donor gift processing and constituent record maintenance.

Enter donations on a regular basis following procedures.

Produce customized individual donor gift and pledge reports.

Generate accurate, consistent, and timely donor acknowledgement letters and tax receipts.

As needed, support the Individual Giving + Events team with donor management and fundraising events, including needs pre- and post- event.

34% Grants Administration Reporting

Work with the Institutional Giving team members to manage institutional donor cultivation, solicitation, and stewardship strategy for grants.

Manage the grant calendar to reflect all grant activity, including grant proposal and report deadlines, and track current grant cycles and renewal processes to guarantee continued funding.

Assemble and maintain key grant documents and files.

Coordinate with relevant staff to solicit timely and appropriate input/review of grant requirements prior to submission deadlines.

Coordinate, document, and schedule logistics, materials, set-up, and follow-up for internal and external meetings.

Assist with internal grants, development, and finance reporting and other tasks as needed

Qualifications

Bachelor’s degree or equivalent preferred

Minimum of three (3) years of database and/or grants management experience in a $5M+ nonprofit organization

Minimum of two (2) years of experience with Salesforce

Advanced Microsoft Office Suite (Word, Excel, Sharepoint, Teams) knowledge

Demonstrated ability to work with a high level of accuracy and manage confidential and sensitive information.

Interest in non-profit donor cultivation/stewardship and focused on providing excellent customer service to donors, external partners, and AJSOCAL

Development and program staff.

Strong attention to detail and analytical skills

Demonstrated sincere commitment to social justice and serving on behalf of low-income, immigrant communities

Valid driver’s license and/or access to alternative means of transportation
