Summary

The Higher Education Manager is responsible for ensuring all Shaheen Scholarship Program Scholars meet program and academic requirements to remain in compliance with the program and graduate from college on time. This role is also responsible for administering and tracking all disbursements within the Higher Education department. They will track scholar compliance and provide regular reporting on all Scholars’ standings, develop and recommend correction plans for students on probation or suspension and coordinate with APCH staff on wraparound support needed. This position combines program support with the coordination of internal and external referrals/resources.

Roles & responsibilities

Essential duties and responsibilities:

  • Conduct 1:1 meetings with scholars for award troubleshooting and support
  • Determine Scholar’s Program compliance status through collaboration with the Assistant Managers
  • Develop and facilitate communications with parents to ensure buy-in and familial support for student success
  • Lead the coordination of financial aid workshops for members and parents with support from the Assistant Manager(s)
  • Submit monthly reports, and as needed, on all students’ status, progress and participation of those who have received individualized services, referrals, and counseling
  • Implement systems for data collection and tracking to ensuring grant deliverables and expenditures are in compliance with expectations
  • Support the department in the planning of key events and milestones such as the renewal process, Shaheen Luncheon, Interview Day
  • Oversee and maintain materials detailing expectations and timelines such as the Scholar Handbook
  • Liaise with college/university financial aid offices when appropriate to troubleshoot and/or confirm any financial activity
  • Administrative Duties
  • Collaborate with the Sr Manager to manage and maintain the department budget, program expenses tracking and submitting check requests for program supplies and independent contractors
  • Lead the process for gathering relevant data and information for monthly/quarterly reports, grant requests, and general updates as requested
  • Create and submit paperwork and reports in a timely fashion
  • Communicate effectively, both orally and in writing
  • Facilitate program-specific team meetings
  • Support other team members in carrying out center protocols, rules, and policies
  • Other Non-Essential Responsibilities
  • Assist with the supervision of members during program hours, special events, and field trips
  • Serve as a mentor and role model for members
  • Attend all required program meetings and events
  • Perform other tasks as assigned

Management Skills

  • Bilingual (Spanish/English) Preferred
  • Education/Training/Experience
  • B.A. degree in social services or related field (social work, psychology, non-profit management, and/or education) or Equivalent Experience
  • A minimum of two years of experience in mentoring, youth development, and working within community organizations and/or schools
  • Some management experience and/or training
  • Familiarity with database management
  • Have knowledge of curriculum development, policies, and procedures
  • Experience with Apricot 360 Case Management Software and Salesforce (Preferred)
  • Experience working in racially, ethnically, and socioeconomically diverse urban communities

Physical and Mental Demands

  • Able to work in a dynamic and high noise level environment typical of a youth center
  • Walking, standing required on a daily basis
  • Sitting and use of hands/vision for computer work for extended periods of time
