Description

The Music Center of Los Angeles County is seeking a creative, energetic, detail-oriented, and proactive events professional with exemplary collaboration, organization, and communication skills to join the Grand Park team. Grand Park is a beautiful 12 acre public park that adds spirit and vitality to downtown Los Angeles. The Park stretches from The Music Center on the west to City Hall on the east. Opened in July 2012, the park celebrates the cultural life of Los Angeles County and is host to wide-ranging community events, cultural experiences, and holiday celebrations. Grand Park has achieved great acclaim for its successful programming including smaller scale series like weekly yoga in the park, mid-sized events such as Día de los Muertos, and large-scale events like N.Y.E.L.A. that draw crowds of nearly 50,000 to the park to ring in the New Year.

Reporting directly to the interim director, Grand Park is looking to hire one program and production coordinator to support programming and production aspects of Grand Park events and programs. Key responsibilities center on assisting two program and production managers with all aspects of event planning and execution for year-round park programming. Additionally, this individual will support the interim director, Grand Park with scheduling, communication, and various administrative duties. Through this work, the program and production coordinator will play a critical role in helping to build the park’s renown as a producer of the highest quality, safest, and most innovative public free events in Los Angeles County.

Principal duties and responsibilities include:

  • Supports Grand Park programs from design through execution including but to limited to:
    • Acts as artist/partner liaison (scheduling, parking, credentials, meals, etc)
    • Acts as onsite event staff participating in event load-in, load-out, and event execution including but not limited to signage, fencing setup, etc.
    • Supports requests for usage of Grand Park inventory
    • Tracks vendor estimates/invoices, collaborating with Grand Park business managerArtist contract administration
    • Coordinates vendor, artist, and partner meetings
  • Maintains database of vendors, part-time staff, event documentation (ie, liability waivers)
  • Supports inventory QC
  • Researches subcontractors and production staffing for event work (i.e. staging, seating, food services, etc.), as needed
  • Researches artists and community partners
  • Support interim director ,Grand Park with:
    • Scheduling
    • Communication
    • Expense reports, travel arrangements, etc
    • Meetings logistics
    • Keeps the Interim Director, Grand Park informed of work progress and potential problems as well as innovative solutions to address problems
  • Performs certain administrative duties in support of Grand Park team: collecting timecards, preparing meeting agendas, taking and distributing meeting minutes
  • Works closely with the program and production managers as well as larger Grand Park team to support all park endeavors, including Grand Park rentals
  • Maintains positive relationships with all levels of Music Center and Grand Park staff, as well as key external stakeholders and partners
  • Performs other duties as required as assigned by the Interim Director, Grand Park

 

Requirements and qualifications:

  • Grand Park is seeking a program & production coordinator with a minimum of 2 years of event or project management experience. The ability to work cogently in collaboration with diverse groups of people, to communicate at the highest level, and to manage wide-ranging and complex projects is crucial. Experience in the arts and culture sectors is preferred
  • Bachelor’s degree required
  • Pro-active and self-directed professional with excellent follow-through, organization and time-management know-how
  • Must possess strong listening, and articulate written and communication skills
  • Must be tactful, discrete, and diplomatic
  • Knowledge of the Los Angeles arts and culture community preferred
  • Fluency in working in collaboration with diverse communities
  • Experience in outdoor event production preferred
  • Must possess critical thinking skills
  • Demonstrates the highest level of poise and maturity in communication, flexibility and the ability to multi-task and problem solve in a fast-moving environment, and resourcefulness in setting priorities and partnering with a dynamic and small team;
  • Can operate with a flexible schedule, must be able to work events on weeknights and weekends as well as holidays
  • Must be able to lift certain weight 40 pounds without help
     

Salary:

Compensation will be determined commensurate with experience; this is a non-exempt hourly position.
