Position Summary: Opportunity Fund seeks a highly detail-oriented, self-starter to provide critical administrative support to development and communications activities in Southern California. Working closely with the Regional Director, the Development Assistant will participate as an active member of the development team by providing excellent customer service to internal staff (development and marketing team, and LA office) and external contacts. The Development Assistant will support fundraising activities including donor communications, special events, and data management.

The ideal candidate will demonstrate a high attention to detail, the ability to prioritize and multitask, and the capacity to work independently. Responsibilities:

Fundraising and Stewardship

  • Assist Regional Director with relationship-building, including scheduling; preparing meeting materials; tracking progress; compiling meeting notes; managing follow-up.
  • Collaborate with Regional Director, Grants Officer, and individual giving staff to conduct research and development of individual and institutional prospects.
  • Support Regional Director, Grants Officer, and individual giving staff with pipeline management and preparation of materials for proposals and reports.
  • Coordinate with Regional Director, Grants Officer, and individual giving staff to facilitate acknowledgement process, assuring letters are sent within 48 hours of gift receipt; identify and generate special letters as needed.
  • Collaborate with Events team and provide support for local events.
     

Regional Board

  • Provide administrative support associated with the Southern CA Regional Board (i.e. prepare and distribute notices, agendas, minutes; help manage calendars; etc.).
  • Support Regional Director with the development and management of board member prospect portfolio.
  • Assist with coordination of board event logistics including maintenance of guest lists, gathering and preparing registration materials and other duties.
  • Support Regional Director on materials and processes related to board governance (board documents, committee management, bi-laws, rosters, etc.) and board development (board roles and responsibilities, nomination process and prospect evaluation).
     

Administrative

  • Assist Regional Director with scheduling and logistics of meetings with Regional Board, institutional partners, individual prospects/donors, community partners and other stakeholders.
  • Provide data entry support and ongoing maintenance for contacts, project tasks and other information into CRM and project management data systems.
  • Generate and review fundraising reports.
     

Qualifications:

  • A minimum of three years' experience in an administrative position, preferably in a not-for-profit development office.
  • Proficiency in Microsoft Office applications required – experience with a fundraising/CRM database preferred (Salesforce, Raiser’s Edge, etc.).
  • Ability to work independently and successfully manage multiple projects with competing deadlines.
  • A high attention to detail and strong organizational skills, with an eye for presenting information concisely and cleanly.
  • Excellent interpersonal and communication skills.
  • Strong contributor within a team environment.
