A Place Called Home is seeking a Special Events Manager

Under the direction of the Director of Development and the Associate Director of Corporate and Community Engagement, the Special Events Manager will be responsible for the development and oversight of APCH’s annual special events portfolio, which includes 3-4 fundraisers, 8-12 community events, and 1-3 donor recognition and cultivation gatherings.

FLSA Status: Exempt

Annual Salary Range: $45,000-50,000 DOE

Essential Duties and Responsibilities:

Reports directly to Director of Development for fundraisers and donor events and to Associate Director of Corporate and Community Engagement for all community events

Coordinates all external and internal logistics related to APCH events including but not limited to fundraisers, Home for the Holidays, APCH Thanksgiving, Back to School, Cinderella/Prince Charming Project, etc.;

Creates, manages and oversees events budgets to ensure that agency is on track with allocated expenses for each event;

Oversees, interfaces with and manages outside vendors including event coordinators, production coordinators, etc. for fundraising events;

Works with Communications to coordinate and manage all event-related communications and marketing materials, including but not limited to Save the Dates, invitations, flyers, signage, social media, website, other electronic presence, etc.;

Works with city entities to pull permits when required;

Work closely with Program leads to request needs from other departments such as but not limited to: audio, transportation, facility, nutrition, etc.;

Ensure that all events are reflected in the internal events calendar and the calendar on the website;

Provides analytics and reports following each event including attendance, cost analyses, etc. to leadership;

Works with Communications to create and implement public relations and press strategies for each event;

Works with nonprofit and corporate partners to create and implement joint events;

Works with APCH facilities and operations staff to ensure that events are executed to maximum effectiveness and outcomes with minimum interruption to regular agency operations;

For all community events: interfaces directly with community groups and businesses to maintain cooperation and support;

Works closely with Volunteer Coordinator to create job descriptions for volunteers for all applicable events;

Provides staff needs to the Director of Operations for staff assignment and scheduling.

Provides leadership and support for event teams made up of staff and volunteers;

Takes the lead on event-related administrative projects, such as create and codify an events manual that include every APCH event with individualized event timelines, task descriptions, debrief notes, equipment rental needs, contact information for vendors and partners, etc.

Education and Experience:

  • 2-3 years of event planning and coordinator experience preferably within a fundraising context;
  • Bachelors Degree; and
  • Demonstrated ability to work in a fast-paced and chaotic environment.
